The Wedy ecosystem

Wedy is a two-sided platform built exclusively for the event industry. Understanding these three foundational concepts is the starting point for everything else you will do on the platform.

  • Wedy Pro — The vendor-side business management platform at wedypro.ai. This is where you manage leads, send documents, collect payments, run automations, and handle every aspect of your event business. When this help center says "Wedy Pro," it means this CRM and business tool.

  • Wedy App — The client-facing marketplace at wedyapp.com. This is where couples and clients browse vendor profiles, view packages, and submit booking requests. Think of it as the storefront that Wedy Pro powers behind the scenes.

  • Vendor Collective — Wedy's curated verification program. The Vendor Collective team hand-selects vendors through a vetting process before their profiles go live on the Wedy App marketplace. This is not an open directory — it is a quality-controlled community of trusted event professionals.


CRM and client management terms

The CRM section of your sidebar is where you manage business relationships from first inquiry to final payment. Here are the core terms you will see throughout your daily workflow.

  • Leads — Prospective clients who have expressed interest in your services but have not yet booked. Leads enter your CRM through lead forms embedded on your website, manual creation, or CSV import. You manage leads from the Leads page in the CRM sidebar. Learn about managing leads and projects.

  • Projects — Active client engagements in your CRM. A Project is the central hub for everything related to a specific client or event — documents, payments, tasks, notes, and communication all live here. Projects appear under Projects in the CRM sidebar. This is distinct from "Bookings," which are marketplace-side. Create your first project.

  • Lead Forms — Embeddable forms you create in Wedy Pro and place on your own website (WordPress, Wix, Squarespace, or any HTML site). When a prospective client fills out your lead form, their submission automatically creates a new Lead in your CRM pipeline. You can create up to 10 lead forms, each with custom fields and your business branding.

  • Schedulers — Embeddable appointment booking tools you create in Wedy Pro. Clients select an available date and time, fill in their details, and the booking syncs to your connected calendar. You can create up to 10 schedulers and embed them on your website or share a direct booking link.

  • Organizations — A way to group related leads under a single company or venue name. Useful when you work with event planners, venues, or agencies that refer multiple clients to you.

  • Pipeline — The visual progression of your bookings through fixed statuses. Bookings move through Inquiry, Signature, In Progress, and Completed as they progress from initial request to completion. You can filter and view bookings by status from the Bookings page.

  • Lead Source — A tag that tracks where a lead came from (your website, a referral, the Wedy App marketplace, a bridal show, etc.). Lead sources help you understand which channels drive the most business. Customize them in Account > Project Settings.

  • Event Tags — Custom labels you assign to projects for categorization by event type, season, or any criteria you choose (e.g., "Summer 2026," "Corporate," "Destination Wedding"). Configure them in Account > Project Settings.

  • Project Types — Another layer of organization for your projects. Use project types to distinguish between different kinds of work, such as "Full Planning," "Day-Of Coordination," or "Elopement."


Documents and templates terms

Wedy Pro uses a powerful document system called Smart Documents to handle everything from proposals to payment collection — all within one AI-assisted editor. Here is what each term means.

  • Smart Documents — The document creation system in Wedy Pro. Smart Documents are fully branded, interactive files you send to clients. They support e-signatures, payment collection, and custom content blocks — all built with an AI-assisted drag-and-drop editor that can help draft content for your proposals and contracts. Send your first document.

  • Proposals — Documents that present your services and pricing to a prospective client. Proposals can include package details, custom line items, and payment terms. When a client accepts a proposal, it can trigger payment collection automatically.

  • Invoices — Payment documents you send to clients to collect fees. Invoices support credit card and bank transfer payments, payment schedules (deposits, milestones, final payments), and automatic payment reminders. Processing fees apply: 2.9% + $0.30 per credit card transaction, or 0.8% capped at $5 per bank transfer.

  • Contracts — Legally binding agreements that clients can e-sign directly within the document. Contracts support multiple signature fields, countersignatures from your side, and are stored permanently within the project record.

  • Questionnaires — Forms you send to clients to gather information — event details, preferences, timelines, guest counts, dietary requirements, or anything else you need to plan their event. Responses are saved to the project for easy reference.

  • Document Status — Every document moves through a lifecycle: Draft (not yet sent) → Sent (delivered to client) → Viewed (client has opened it) → In Progress (partially completed) → Completed (fully signed or paid) or Expired (past the deadline).

  • Templates — Reusable starting points for your documents and emails. Instead of building every contract or invoice from scratch, create a template once and reuse it for every new client. Wedy Pro supports templates for all four document types plus email templates. Find them under Templates in the CRM sidebar. Learn about templates and documents.

  • Template Gallery — A community library of document templates organized by vendor category (photographer, planner, florist, caterer, and more). Browse templates created by other event professionals, copy them to your own library, and customize them to match your brand and workflow.

  • Document Settings — Configuration options found under Account > Document Settings. Here you can set up custom units for your line items, configure your tax registry for automatic tax calculations on invoices, and manage payment reminders that notify clients when a payment is due.


Marketplace terms

The marketplace is the client-facing side of Wedy. These terms relate to how clients discover and book your services through the Wedy App.

  • Packages — Service offerings you create in Wedy Pro that appear on your public marketplace listing. Each package includes a cover photo, title, pricing, duration, guest range, service details, and optional add-ons. Clients browse your packages on the Wedy App and use them to request bookings. Create your first package.

  • Bookings — Reservation requests that come in from clients through the Wedy App marketplace. When a client selects one of your packages and submits a booking request, it appears in the Bookings section of your Marketplace sidebar. Bookings move through statuses: InquirySignatureIn ProgressCompleted. You can also filter by Active (all non-completed bookings), Drafts, and Declined. Note: Bookings are marketplace-side and separate from CRM Projects.

  • Messages — The messaging system for marketplace conversations. When a client reaches out through the Wedy App, the conversation appears in your Messages inbox. This is separate from your connected email — Messages is a direct, in-platform communication channel for marketplace inquiries.

  • Profile — Your public-facing vendor page on the Wedy App. Your profile includes your business name, description, portfolio photos, FAQs, location, social media links, and packages. Clients use your profile to evaluate your services before booking. Complete your vendor profile.

  • Portfolio — The photo gallery on your vendor profile. Upload 5 to 20 of your best images to showcase your work. The first image in your portfolio serves as your cover photo on the marketplace — choose your strongest shot.

  • Business Category — The type of event service you provide (photographer, planner, florist, DJ, caterer, venue, videographer, hair and makeup, officiant, and more). You select your business category during onboarding, and it determines how clients find you in the marketplace.


Automation and workflow terms

Automations let you put repetitive tasks on autopilot so you can focus on your craft instead of your inbox. The AI-powered automation builder can suggest workflows based on a plain-language description of what you want to accomplish.

  • Automations — Rules you set up to perform actions automatically when certain events happen. For example, create an automation that sends a follow-up email when a new lead comes in, or moves a project to the next stage when a contract is signed. Find them under Automations in the CRM sidebar.

  • Trigger — The event that starts an automation. Examples include: a new lead is created, a project moves to a specific stage, a document is signed, or a payment is received.

  • Action — What the automation does when the trigger fires. Examples include: send an email, send a document, create a task, move a project to a different stage, or add a tag to a project.

  • Activity Log — A record of every automation that has run, found in the Activity tab on the Automations page. Use it to verify your automations are working as expected and troubleshoot any issues.


Payments and financial terms

Wedy Pro includes built-in payment processing so you can collect payments directly through your invoices and proposals — no need for separate payment tools.

  • Payments — The section in Wedy Pro where you track all financial activity. Found under Payments in the sidebar, it includes sub-sections for Financials, Payments, Payouts, and payment-related Documents. Set up payment processing.

  • Financials — Your revenue dashboard. See an overview of total revenue, due payments, overdue payments, and completed payments — all in one view.

  • Payouts — Transfers of collected funds from your payment processor to your bank account. Payout timing depends on your payment processor's schedule.

  • Payment Schedule — A structured plan for collecting payments over time, built into an invoice or proposal. Use payment schedules to collect a deposit upfront, milestone payments along the way, and a final balance before the event — a common workflow for wedding photographers, planners, and other event vendors.

  • Payment Reminders — Automatic email reminders sent to clients when a payment is due or overdue. Configure reminders in Account > Document Settings.


Integration and connectivity terms

Wedy Pro connects with your existing tools so everything works together seamlessly. All integrations are managed from Account > Integrations.

  • Email Integration — Connect your existing email account (Gmail, Outlook, or other providers) to Wedy Pro. Once connected, all emails you send through Wedy Pro — documents, automations, follow-ups — come from your real business email address. Clients always see your email, never a generic platform address. This connection is safe and secure. Connect your email.

  • Calendar Sync — Connect your calendar to see all your events in one place. Calendar sync works bidirectionally — events you create in Wedy Pro appear on your external calendar, and external events appear in your Wedy Pro Calendar view. This also powers your Scheduler availability, preventing double-bookings. Connect your calendar.

  • Payment Processing — Connect your payment account to accept credit card and bank transfer payments through invoices and proposals. This connection is required before you can collect payments from clients. Set up payment processing.

  • Embeddable Widgets — Lead forms and schedulers can be embedded directly on your own website using a simple code snippet. The widget works on any website platform (WordPress, Wix, Squarespace, or any HTML site) and matches your business branding automatically.


Account and team terms

These terms relate to managing your Wedy Pro account, subscription, and team.

  • Dashboard (Home) — Your home screen when you log into Wedy Pro. The dashboard shows your profile card, business stats (new leads, action items, earnings), quick-action buttons, and customizable widgets for projects, calendar, messages, and more.

  • Onboarding Checklist — A progress tracker that appears on your dashboard when you first sign up. It guides you through five setup steps: complete your profile, create a package, connect your email, set up payment processing, and verify your account with Vendor Collective.   • AI Onboarding — When you first set up your profile, Wedy Pro offers an AI-powered chat assistant that guides you through profile creation conversationally. Share details about your business in natural language, and the AI builds your profile for you — with a live storefront preview on desktop. You can skip it and fill in the fields manually if you prefer.

  • Pro Plan — The subscription plan for individual vendors. Includes the full CRM: lead management, documents, automations, email and calendar sync, payment processing, and more.

  • Elite Plan — The subscription plan for growing teams. Includes everything in the Pro plan plus team member access, role-based permissions, shared projects and documents, AI agents, revenue analytics, and premium white-labeling.

  • Team Members — Additional users you invite to your Wedy Pro account (available on the Elite plan). Each team member can have custom permissions that control which features they can access.

  • Permissions — Role-based access controls for team members. Permissions let you decide which sections of Wedy Pro each team member can view or edit — from leads and projects to payments and account settings.

  • Preferences — Your personal settings in Wedy Pro, including theme (light, dark, or system default), timezone, and company theme (your business branding applied across documents and client-facing pages). Found under Account > Preferences.

  • Email Signatures — Custom signature blocks appended to emails you send through Wedy Pro. Create multiple signatures for different contexts (formal inquiries vs. casual follow-ups) and set a default. Found under Account > Email Settings.

  • Project Settings — The configuration area where you customize your pipeline stages, event tags, project types, and lead sources. Found under Account > Project Settings. Tailor these to match how your specific event business operates.

Wedy Pro organizes features into labeled sidebar sections. Here is a quick reference for where each feature lives — use this as a map when you are looking for a specific tool.

Frequently asked questions

What is the difference between Projects and Bookings?


Projects are CRM-side client engagements that you create and manage. They hold all your documents, payments, tasks, and communication for a specific client or event. Bookings are marketplace-side reservations — they appear when a client requests to book one of your packages through the Wedy App. Think of Bookings as incoming requests from the marketplace and Projects as your active workspace in the CRM.


What is the difference between Wedy Pro and the Wedy App?


Wedy Pro (wedypro.ai) is your business management platform — where you manage leads, send contracts, collect payments, and run operations. The Wedy App (wedyapp.com) is the consumer-facing marketplace where clients discover your profile, browse your packages, and request bookings. Your Wedy Pro account powers your presence on both.


What are Smart Documents?


Smart Documents are Wedy Pro's all-in-one document system. Instead of using separate tools for contracts, invoices, proposals, and questionnaires, Smart Documents let you create all four types in one AI-assisted editor with built-in e-signatures, payment collection, and your business branding.


What does Vendor Collective mean?


The Vendor Collective is Wedy's verification program. It is not an automatic listing — the Wedy team reviews and hand-selects vendors before their profiles go live on the marketplace. This ensures clients see only high-quality, vetted event professionals.


What is the difference between Lead Forms and Schedulers?


Both are embeddable widgets you can place on your own website. A Lead Form captures client inquiry information (name, email, event details, budget) and creates a Lead in your CRM. A Scheduler lets clients pick a date and time to book an appointment with you, which syncs to your connected calendar. Use Lead Forms to capture new inquiries and Schedulers to book consultations or meetings.


Do I need to memorize all of these terms?


Not at all. This glossary is designed as a reference you can return to anytime. As you use Wedy Pro, the terms become second nature. Start with the features you use most and explore from there.
