Track Project Financials and Payments

Learn how to track invoices, payment status, and financial documents for each client project in Wedy Pro's Financials and Files tabs.

About the Financials tab

Every project in Wedy Pro includes a Financials tab on the project detail page, giving you a focused, per-project view of all financial activity associated with a client engagement. The tab has three fully-built sections:

  • Revenue Overview — A date-range revenue chart scoped to this specific project, with a date range picker so you can filter the visualization to any custom period.

  • Due & Overdue Payments — A searchable, paginated table of overdue invoices for this project, with aging badges showing how long each invoice has been outstanding.

  • Completed Payments — A searchable, paginated table of completed payments for this project, including QuickBooks sync status if QuickBooks is connected to your account.


For event professionals managing multiple clients at once — photographers with a full fall season, planners coordinating several weddings, DJs with back-to-back weekends — having financial visibility at the project level means you always know exactly where each booking stands financially without losing context.


How to access the Financials tab

  1. Click Projects in the CRM sidebar.

  2. Click on any project to open its detail page.

  3. Click the Financials tab in the main content area.


The Financials tab requires payment permissions. Team members without payment access will not see the tab when viewing the project. Additionally, team members with the member role must be assigned to the project — they will see a Project Not Accessible screen if they try to open a project they have not been added to. Owners and admins have full access to all projects regardless of assignment.


Smart Documents and payment collection

Payments in Wedy Pro flow through Smart Documents — invoices, contracts, and proposals created directly inside the project. When you create a financial document from a project, it stays linked to that project, and all payment activity is tracked in context.


To create an invoice or proposal from a project:

  1. Open the project detail page.

  2. Click the Create button in the project detail page header area.

  3. Select Invoice, Contract, or Proposal from the dropdown.

  4. Choose a template (or start from scratch) and configure the payment details.

  5. Send the document to your client directly from Wedy Pro — it goes out through your connected email, so clients see your real business address.


Once sent, your client can review and pay directly through the document. Processing fees apply: 2.9% + $0.30 per credit card transaction, or 0.8% capped at $5 per bank transfer.


Understanding payment states

When you track invoices through Smart Documents, each invoice reflects one of the following payment states. These states appear in the Financials tab's Due & Overdue Payments and Completed Payments tables, giving you an at-a-glance read on every invoice's status:

  • Pending — The invoice has been sent but no payment has been received yet. Your client has been notified and the document is awaiting action.

  • Paid — Payment has been collected in full. The invoice appears in the Completed Payments table and the funds are on their way to your connected payout account.

  • Overdue — The payment due date has passed without full payment. The invoice appears in the Due & Overdue Payments table with an aging badge showing how many days it has been outstanding. Follow up with your client directly from the project — send a message from the Activity tab or share the invoice link again using Copy link from the Files tab.


The Files tab provides a complementary, document-centric view of the same Smart Documents — useful when you want to see page views, signature status, and other document-level indicators alongside the payment state.


Tracking payment status in the Files tab

The Files tab gives you real-time visibility into the status of every Smart Document linked to the project — including payment progress.


To check payment and document status:

  1. Open the project detail page.

  2. Click the Files tab.

  3. Under Smart Files, each document card shows its current status — including how many invoice actions have been completed and whether a contract has been signed.


Smart Document cards display key progress indicators at a glance:

  • PAGES — How many pages the client has viewed, so you know if they've actually read the document.

  • ACTIONS — Completion status for required actions (payment received, contract signed).

  • Status badge — The document's overall state (sent, viewed, completed, etc.).


How document payments connect to the Payments page

Every payment collected through a project-linked Smart Document also appears on the global Payments page in Wedy Pro. Think of it as two views of the same data:

  • Financials tab (inside a project) — Scoped to a single client. Best for checking one booking's revenue overview, overdue invoices, and completed payments at a time.

  • Payments page (global) — Across all clients. Best for reviewing your overall revenue, pending amounts, and payout history.


The two views stay in sync — a payment recorded on an invoice in a project shows up in both places automatically. There's no need to manually reconcile.


Managing financial documents within a project

From the Files tab, you have full control over every Smart Document linked to the project. Click the dropdown menu on any document card to access these actions:

  • Preview — See the document exactly as your client sees it.

  • Configure — Edit the document content, payment schedule, or due dates.

  • Rename — Update the document title.

  • Copy link — Get a shareable link to send directly to your client.

  • Generate view-only link — Share a read-only version (useful for internal reference or third-party reviewers).

  • Mark as complete — Manually mark a document as complete when the workflow is finished.

  • Delete — Remove the document from the project.


Tips for managing project finances effectively

  • Name documents clearly. When a project has multiple invoices (deposit, balance, add-ons), use descriptive names like "Deposit Invoice" and "Final Balance Invoice" so you can distinguish them at a glance in the Files tab.

  • Use proposals for complex bookings. A Proposal Smart Document can combine a contract, questionnaire, and payment request in a single client-facing document — keeping the experience streamlined and professional.

  • Check the Financials tab before project calls. Before a client call, the Revenue Overview chart and Due & Overdue Payments table give you an immediate picture of where the booking stands financially — so you never go in blind.

  • Monitor from the Activity tab too. The Activity tab shows incomplete Smart Files at the top, giving you an immediate view of any documents that still require client action.

  • Follow up on overdue invoices promptly. Use Copy link from the Files tab to resend the invoice link, or send a follow-up message directly from the Activity tab — all from within the project.


Frequently asked questions

Can I see a total revenue figure for a single project?


Yes — the Financials tab shows a Revenue Overview chart, a Due & Overdue Payments table, and a Completed Payments table, all scoped to this specific project. For a full revenue breakdown across all projects, visit the Payments page in the main navigation.


What payment methods can clients use?


Clients can pay via credit card or bank transfer (ACH). Processing fees are 2.9% + $0.30 per credit card transaction, and 0.8% capped at $5 per bank transfer.


What happens if I delete a project that has outstanding invoices?


Wedy Pro will block deletion if a project has partial payments. You must resolve outstanding payments before a project can be deleted.


Can my clients pay through the document itself?


Yes. Invoices and proposals sent as Smart Documents include a built-in payment option. Clients click a link in their email (sent from your connected email address), open the document, and pay directly — no separate payment portal needed.


Do team members see the Financials tab?


Team members must meet two conditions to access the Financials tab: they need payment permissions on your account, and — if they have the member role — they must also be assigned to the project. Members who open a project they haven't been added to will see a Project Not Accessible screen before reaching any tab. Owners and admins have full access to all projects regardless of assignment.
