Customize Project Tags, Types, and Lead Sources

Learn how to create and manage Event Tags, Project Types, and Lead Sources in Wedy Pro to keep your client projects organized.

Updated over 2 months ago

Overview

Wedy Pro lets you define the labels that appear across your projects and leads — so every project is categorized exactly the way your business works. From Project Settings, you manage three sets of customizable values:

  • Event Tags — Color-coded labels you apply to projects for quick visual grouping (e.g., "Rush Booking," "VIP," "Referral")

  • Project Types — The event category for each project (e.g., "Wedding," "Corporate," "Birthday")

  • Lead Sources — Where a lead originally came from (e.g., "Instagram," "Referral," "Wedy App")

Each of these feeds directly into the dropdowns you see when creating or editing a project or lead. Set them up once and they appear everywhere — across your projects list, filters, and reporting.

Time to complete: 5–10 minutes.

How to reach Project Settings

  1. Click your avatar or name in the bottom-left corner to open the Account section.

  2. In the Account sidebar, click Project Settings.

You will land on the Project Settings page, which contains three sections: Event Tags, Project Types, and Lead Sources.

How to add and manage Event Tags

Event Tags are color-coded labels you can attach to any project. They are ideal for marking priority clients, special categories like destination events, or internal workflow status like "Pending Contract."

Add a new tag

  1. In the Event Tags section, click Add Tag.

  2. Enter a name for the tag.

  3. Select a color from the color swatch picker.

  4. Save the tag.

Your new tag immediately appears as an option when editing any project.

Edit an existing tag

  1. Click on any tag card to open the edit modal.

  2. Update the name or color.

  3. Save your changes.

Delete a tag

  1. Hover over the tag card — a trash icon appears.

  2. Click the trash icon.

  3. Confirm deletion when prompted: Are you sure you want to delete [name]? This action cannot be undone.

Some default tags are locked (indicated by a lock icon) and cannot be edited or deleted. These are system defaults that Wedy provides as a starting point.

How to add and manage Project Types

Project Types classify the kind of event for each project. Photographers might use types like "Wedding," "Engagement Session," and "Corporate Event." Planners might use "Full Planning," "Day-Of Coordination," and "Destination Event." Setting up your types makes it easy to sort and understand your project mix at a glance.

Add a new project type

  1. In the Project Types section, click Add Type.

  2. Enter a name for the type.

  3. Select a color from the color swatch picker.

  4. Save the type.

Edit a project type

  1. Click on any type card to open the edit modal.

  2. Update the name or color and save.

Delete a project type

  1. Hover over the type card — a trash icon appears.

  2. Click the trash icon and confirm deletion.

Default types (including the "Other" type) are locked and cannot be deleted. They are indicated by a lock icon on the card.

How to add and manage Lead Sources

Lead Sources record where each lead originated — whether that's your Instagram profile, a past client referral, your Wedy App marketplace listing, or a bridal show. Tracking lead sources helps you understand which marketing channels are driving the most business.

Add a new lead source

  1. In the Lead Sources section, click Add Source.

  2. Enter the name of the lead source (name only — there is no color picker for lead sources).

  3. Save the source.

The new source will appear in the Lead Source dropdown when creating or editing a lead or project.

Delete a lead source

  1. Hover over the source — a trash icon appears.

  2. Click the trash icon and confirm deletion.

Some built-in lead sources are locked (indicated by a lock icon) and cannot be deleted.

Using tags and types across your projects

Once you have set up your Event Tags, Project Types, and Lead Sources, they appear throughout the CRM:

  • Project Types and Tags can be used to filter your projects list. On the Projects page, open the Filters panel and select one or more Project Types or Tags to narrow your view.

  • Lead Sources are recorded on each project and lead record, giving you a clear history of where each client came from. Review your project list to spot which lead sources are most active for your business.

  • Tags appear as colored chips directly on each project card, making it easy to spot categorized projects at a glance.

Tips

  • Keep your tag names short — they appear as chips on project cards and long names get truncated.

  • Use distinct colors for tags so they're visually scannable when your projects list is full.

  • Add lead sources that match your real marketing channels before you start entering leads — retroactively updating lead source on existing projects is possible but time-consuming.

  • If you work with a team, one person setting up shared tags and types prevents duplicate or inconsistent labels across your CRM.

Frequently asked questions

Can I apply multiple tags to a single project?

Yes. A project can have multiple Event Tags applied simultaneously — for example, a project could be tagged "VIP" and "Referral" at the same time.

What happens to existing projects if I delete a tag or type?

Deleting a tag or project type removes it from the available options going forward. Projects that already have the tag or type assigned will retain it until manually updated.

Why can't I delete certain tags, types, or lead sources?

Items with a lock icon are system defaults provided by Wedy Pro. They cannot be edited or deleted, but you can ignore them and add your own custom entries alongside them.

Who can manage Project Settings?

Owners and Admins have full access to Project Settings. For Members and Bookkeepers, access depends on the permissions configured in Team Permissions.

Can I filter projects by Lead Source?

The Filters panel on the Projects page supports filtering by Project Type and Tags. Lead Source is recorded on each project but does not appear as a filter option — review your project list to identify lead source patterns.
