About e-Signatures and Payments in Wedy Pro
Wedy Pro's Smart Documents are built to close the loop from proposal to signed contract to paid deposit — all in one client-facing document. Instead of juggling a separate e-signature tool, a payment gateway, and email follow-ups, you send a single link and your client handles everything in one session.
Every contract page includes built-in signature fields. Every invoice page can be paired with a payment page where clients enter their credit card or bank account details directly in the document. Because both are part of the same Smart Document, Wedy Pro tracks every action — who signed, when, and how much has been paid — in one place.
How e-Signatures Work
When you add a contract page to a Smart Document, Wedy Pro includes signature fields for your client and for you as the vendor. Here's how the signature flow works end to end:
Build your contract content in the document editor. The contract page includes text blocks for your terms, with signature fields embedded in the page.
Send the document. The email arrives from your own connected email address — not a generic platform address — with a View Contract button that links directly to the document.
Your client clicks the link, enters their email address, and receives a one-time verification code. After entering the code, they access the document.
The client reads through the contract and signs in the signature field. Their signature is captured and timestamped.
Once the client signs, you can add your own counter-signature from the document's response page in Wedy Pro.
The document status updates automatically as the client acts — moving from Sent to Viewed to In Progress to Completed once all required actions are done.
How Payment Collection Works
Payment collection is handled through a dedicated payment page that you add to any invoice or proposal. The client enters their credit card or ACH bank account details directly within the document — there is no redirect to an external checkout page.
To set up payment collection:
Create an invoice or proposal. Your invoice page contains line items, totals, discounts, and your payment schedule.
Add a payment page to the document. The payment page is where clients enter their payment method.
Set your payment schedule on the invoice page — for example, a deposit now and the balance before the event.
Send the document. Your client follows the same link and verification flow, then fills in their payment details on the payment page.
Processing fees apply: 2.9% + $0.30 per credit card transaction, or 0.8% capped at $5 per ACH bank transfer.
Page order rule: The payment page must come after the invoice page in your document. Wedy Pro enforces this automatically — if you try to reorder pages incorrectly, you'll see: Payment page can't come before the invoice page. Similarly, a contract page cannot come after the payment page, which ensures clients review and sign before completing payment.
Combining Signatures and Payments in One Document
The most powerful use of Smart Documents is combining a contract and payment collection in a single client experience. A proposal does exactly this — it can contain an invoice page, a contract page, and a payment page together.
A typical event vendor workflow:
Create a proposal from Documents > Proposals and attach it to a project.
Add an invoice page with your service line items and deposit schedule.
Add a contract page with your service agreement and signature fields. Use the AI-assisted editor to help draft your contract language and structure.
Add a payment page for the deposit collection.
Send the proposal via the Send button.
Your client reviews the pricing, signs the contract, and pays the deposit — all in one session, from a single link.
Once all required actions are complete — signature received and deposit paid — the document status moves to Completed automatically.
Tracking Signature and Payment Status
After sending a document, open it from the document list to reach the File Summary page. This is your tracking view for everything that has happened with that document.
The File Summary has three sections:
Status — The current document status with selectable options (SENT, VIEWED, IN PROGRESS, COMPLETED), the sent date, and expiration details. You can manually update the status here if needed.
Shared with — A list of all recipients with individual access toggles. Turn a recipient's access on or off, or generate a share link for them.
Action summary — A per-page breakdown: which signature fields are signed, how much has been paid on each invoice installment, and which questionnaire responses have been submitted.
From the document list, filter by status tab — Drafts, Sent, Viewed, In Progress, Completed, or Expired — to see where every document stands across your entire client roster.
What Clients Experience
Your client receives an email from your own email address with a View Contract, View Invoice, or View Document button — the label reflects your document type automatically.
When they click through:
They enter their email address for identity verification.
A one-time code is sent to their email. They enter the code to access the document.
They navigate through the document pages using a simple header — no accounts or logins required.
To sign, they type or draw their signature in the signature field and confirm.
To pay, they enter their credit card or bank account details on the payment page and submit.
Once all required actions are complete, the document closes out as Completed.
If you later make material changes to the document — updating invoice amounts or contract terms — your client will be asked to approve the changes before their previous actions carry forward. This protects both parties.
You can also generate a view-only link from the Shared with section of the File Summary. View-only links let anyone read the document without email verification — useful for sharing a quote or proposal overview without requiring the client to sign or pay yet.
Frequently asked questions
Does my client need a Wedy account to sign or pay?
No. Clients access documents through a secure link in the email you send them. They verify their identity with a one-time code — no account creation required.
What payment methods can clients use?
Clients can pay by credit card or ACH bank transfer. Processing fees apply: 2.9% + $0.30 per credit card transaction, or 0.8% capped at $5 per ACH bank transfer.
Can I require a signature before the client pays?
Yes. Wedy Pro enforces a page order rule: a contract page cannot come after the payment page. This means your client reviews and signs the agreement before reaching the payment step.
What happens if I update the contract terms after my client has already signed?
If you change contract terms or invoice amounts after a document has been sent (a material change), Wedy Pro flags the update. Your client will need to approve the changes before their previous signature remains valid. You can choose to notify them of the update with an email using Notify Changes, or push non-material edits silently with Send Without Notifying.
Can I collect partial payments or set a payment schedule?
Yes. On the invoice page in the editor, you can set up a payment schedule with multiple installments — for example, a deposit at booking and the balance before the event. The Action summary on the File Summary page shows how much has been paid against each installment.
Can I add my own signature to a contract after the client signs?
Yes. Once your client has signed, you can add your counter-signature to the contract from the document's response page in Wedy Pro.
Can documents expire automatically?
Yes. You can set an expiration on any document — an absolute date, or a time window relative to when it was sent or first viewed. Expiration settings are in the Documents tab of the right panel in the editor.
What does each document status mean?
Sent — emailed but not yet opened. Viewed — the client has opened it. In Progress — the client has started signing or filling in details. Completed — all required actions are done. Expired — the document passed its expiration date without being completed.
