What are leads in Wedy Pro?
A lead in Wedy Pro is a prospective client who has expressed interest in your event services but hasn't yet become a booked project. The Leads page in the CRM section of your sidebar is your central hub for tracking every potential client — from the moment they first reach out to the moment you convert them into a full project.
Whether you're a photographer fielding inquiries from engaged couples, a florist receiving consultation requests, or a DJ getting booked for corporate events, your Leads page keeps every prospect organized and accessible in one place.
Where do leads come from?
Leads enter your Wedy Pro CRM through several channels, giving you a unified view of every prospect regardless of how they found you.
Lead Forms — Create branded lead capture forms and embed them directly on your website. When a prospective client fills out your form, a new lead is automatically created in your CRM. Wedy Pro's lead forms work seamlessly on any website — WordPress, Wix, Squarespace, or any HTML site.
Wedy App Marketplace — Clients browsing the Wedy App marketplace can discover your profile, view your packages, and send booking inquiries. These marketplace inquiries flow into your CRM as leads, giving you organic prospects without any additional marketing spend.
Manual creation — Met someone at a bridal expo? Received a referral via text? Click Create on the Leads page and add them directly.
CSV import — Migrating from another platform or consolidating a spreadsheet of contacts? Import up to 500 leads at once from a CSV, XLS, or XLSX file.
The Leads page at a glance
To access your leads, click Leads under the CRM section in the sidebar. The Leads page displays all your prospects with tools to search, filter, and organize them efficiently.
At the top of the page, you'll find:
Create button — Opens a dropdown with options to Create Lead or Create Organization.
Import button — Opens the import wizard for uploading leads from a file.
Search bar — Instantly find leads by name, email, or phone number (placeholder: "Search leads...").
Status filter — Filter by All Status, Active, or Inactive.
Date filter — Narrow results by time period: All Time, Today, Yesterday, This Week, Last 7 Days, This Month, Last 30 Days, or Last Year.
Active filter selections appear as pills below the toolbar with an X to remove each one, and a Clear button resets all filters at once.
Grid view vs. list view
Wedy Pro offers two ways to view your leads, and you can switch between them using the circular toggle button next to the search bar.
Grid view — Groups your leads by the month they were added (e.g., "January 2026 — 5 Leads / 3 Active, 2 Inactive"). Each month section is collapsible, making it easy to see recent prospects at a glance. This is the default view when you have more than 10 leads.
List view — A flat table sorted by most recent activity, showing columns for Name, Email, Status, Phone, Organization, Job Title, Last Activity, and Actions. This is the default view when you have 10 or fewer leads.
Both views display the same lead information — choose whichever layout fits the way you work.
Lead status: Active and Inactive
Every lead in Wedy Pro has one of two statuses:
Active — A prospect you're currently pursuing or in conversation with. New leads default to Active.
Inactive — A lead you're no longer actively working. Mark leads as Inactive when they go cold, choose another vendor, or are otherwise not a fit.
To change a lead's status, click the status badge directly on the lead row in the list or grid view. A dropdown appears with Active and Inactive options, and the change takes effect immediately. You can also toggle status from the Edit Contact tab in the lead's detail view.
Use the Status filter at the top of the Leads page to focus on just your active pipeline or review inactive leads you may want to re-engage.
What you can do with a lead
Clicking on any lead opens the lead detail view. On desktop, you'll see a sidebar on the left showing the lead's avatar, name, and job title, along with navigation tabs for the four key areas of lead management.
Edit Contact
The Edit Contact tab (also labeled as personal info) lets you view and update all the details you have about a lead:
Personal Details — Name, email, and phone number.
Professional Details — Organization (select from existing organizations or "No Organization") and job title.
Address — Mailing address with location autocomplete.
Lead Status — Toggle between Active and Inactive.
Click Save in the top-right corner to apply your changes.
Communication
The Communication tab shows your full email thread with the lead, all in one place. Every email you've sent or received appears in chronological order with infinite scrolling.
To start a conversation, click the compose button — it reads Email [Lead Name] for new conversations or Reply to: [Subject] for existing threads. When composing, Smart Fields let you personalize emails with merge data like the lead's name, your business name, phone number, and more.
All emails are sent through your own connected email account, so your clients always see your real business email address — never a generic platform address. If you haven't connected your email yet, the Communication tab will prompt you to do so.
Meetings
The Meetings tab displays all upcoming and past meetings associated with this lead. When you schedule a new meeting, it syncs with your connected calendar and appears here automatically. Meetings booked through your embedded Schedulers also show up in this tab, keeping all your scheduled interactions with a prospect in one view.
Notes
The Notes tab is your private workspace for tracking internal details about a lead. Add notes about consultation calls, venue preferences, budget discussions, or any other details that help you personalize your follow-up. Notes are visible only to you and your team — leads never see them.
Organizations: Group leads together
Organizations in Wedy Pro let you group related leads under a shared company or entity. This is especially useful for event vendors who work with referral networks — for example, a venue that regularly refers couples to your photography business, or a corporate client that books your services for multiple events.
To create an organization, click Create on the Leads page and select Create Organization. You can set the organization's name, industry, phone number, website, and mailing address, then link an existing lead or create a new contact within it.
The lead-to-project journey
Leads are the starting point of your client pipeline in Wedy Pro. Here's how a typical lead progresses through your business:
A prospective client fills out your lead form, sends a marketplace inquiry, or you add them manually.
You review their details on the Leads page and reach out via the Communication tab.
You schedule a consultation through the Meetings tab or your embedded Scheduler.
When the lead is ready to move forward, you convert them into a Project — where you can send proposals, contracts, invoices, manage tasks, and track payments.
Converting a lead to a project carries their information into a full CRM workspace with stages, tags, documents, and financials. From there, you can leverage Automations to trigger follow-up emails, create tasks, and move projects through your pipeline automatically.
Quick actions from the leads list
You don't always need to open a lead's detail view to manage them. From the leads list or grid, you can:
Change status — Click the status badge on any lead row to toggle between Active and Inactive instantly.
Edit — Click the action menu (⋮) on a lead row and select Edit to update their details in a quick modal.
Delete — Click the action menu (⋮) and select Delete to permanently remove a lead. A confirmation modal appears with the warning: "This action cannot be undone. All data associated with this lead will be permanently deleted."
Frequently asked questions
What's the difference between Leads, Projects, and Bookings?
Leads are prospective clients you're still pursuing. Projects are active client engagements in your CRM where you manage documents, tasks, and payments. Bookings are client reservations that come through the Wedy App marketplace. Leads live under the CRM section of your sidebar, while Bookings live under the Marketplace section.
Can I import leads from another CRM or spreadsheet?
Yes. Click the Import button on the Leads page to upload a CSV, XLS, or XLSX file with up to 500 leads. Wedy Pro auto-detects common column names and lets you map each column to a lead field. You can also download a sample template to ensure your file is formatted correctly.
How do I know where a lead came from?
Leads created from your embedded lead forms or marketplace inquiries are automatically tracked. For manually added leads, you can assign a lead source when converting them to a project. Set up custom lead sources in Account > Project Settings to track which marketing channels drive the most inquiries.
Can my team members access leads?
Yes. Team members with appropriate access can view and manage leads. The Communication tab requires email permissions, and the Meetings tab requires calendar permissions.
What happens if I delete a lead?
Deleting a lead is permanent and cannot be undone. All data associated with the lead — including notes and communication history — is permanently removed. If you're unsure, consider marking the lead as Inactive instead to keep their information on file.
