About the lead detail view
Every lead in Wedy Pro has a dedicated detail view where you can manage all aspects of that contact relationship. From here, you update personal and professional information, send emails directly through your own connected email address, track meetings, and keep private notes — all without leaving the lead's profile.
The lead detail view is organized into four tabs: Edit Contact, Communication, Meetings, and Notes. Each tab gives you a focused workspace for a specific part of the relationship.
How to open a lead's detail view
To open a lead's detail view in Wedy Pro, navigate to Leads in the CRM section of the sidebar, then click on any lead row in your list. On desktop, the detail view displays a sidebar on the left with the lead's avatar, name, and job title, plus navigation tabs for each section. The content area on the right shows the active tab.
Edit contact information
The Edit Contact tab is where you view and update a lead's personal details, professional information, and address. This tab opens by default when you navigate to a lead's detail view.
Here is what you can edit on this tab:
Lead Status — Toggle between Active and Inactive using the status switch at the top of the form. Mark leads as Inactive when they are no longer responsive or have decided not to move forward.
Personal Details — Update the lead's Name (required), Email (required), and Phone number.
Professional Details — Assign the lead to an Organization using the dropdown, or add a Job Title (for example, "Event Coordinator" or "Bride").
Address — Add or update the lead's Mailing Address using the address search field, which auto-completes as you type.
After making changes, click Save in the top-right corner to update the lead's record.
If the lead already has a Wedy account (for example, they booked through the Wedy App marketplace), an alert banner appears at the top of the form letting you know.
Communicate with leads via email
The Communication tab shows your full email conversation with the lead in one scrollable thread. Every email you send from this tab is delivered through your own connected email address — your lead sees your real business email, not a platform address. This keeps your outreach personal and professional.
To send your first email to a lead:
Open the lead's detail view and click the Communication tab.
If this is your first conversation, the page displays No communication yet with a prompt to start your first conversation. Click Send First Email.
Compose your message in the email editor. Use Smart Fields to automatically insert dynamic information like the lead's name, your business name, or today's date.
Send the email. It appears in the thread immediately.
To reply to an existing conversation, click the compose button — the button text shows Reply to: [Subject] for existing threads, making it easy to continue the conversation in context.
If you have multiple email threads with the same lead, scroll through the thread list. The Communication tab uses infinite scroll, loading 20 emails at a time as you scroll down.
Smart Fields for personalized emails
When composing an email from the Communication tab, Smart Fields let you insert dynamic values that auto-populate with real data. This is especially useful for follow-up templates that still feel personal. Available Smart Fields include:
Lead fields — lead name, email, and phone number
Your business fields — business name, email, phone, website, address, description, and social media links (Instagram, Facebook, Pinterest)
Date fields — today's date
For example, a wedding photographer might write: "Hi {lead.name}, thank you for reaching out to {vendor.name}! I'd love to learn more about your vision for the big day." The Smart Fields fill in automatically when the email is sent.
Sync your email history
If you have been emailing a lead outside of Wedy Pro (for example, directly from your inbox), you can pull those conversations into the Communication tab. When email syncing is available, a Sync Emails button appears in the header. Click it to import your email history with that lead into Wedy Pro so your full conversation lives in one place.
Email syncing requires your email account to be connected. If you have not connected your email yet, visit Account > Integrations to set up the connection.
Schedule and track meetings
The Meetings tab displays all upcoming and past meetings associated with the lead. This gives you a clear view of your meeting history and what is coming up next — helpful when you are juggling consultations with multiple prospective clients.
Meetings booked through your embedded Schedulers automatically appear here when they involve this lead. You can also schedule a new meeting directly, which navigates you to the Calendar with the lead's context already filled in.
The Meetings tab requires a calendar connection. Connect your calendar from Account > Integrations to enable this feature.
Add private notes to a lead
The Notes tab is your private workspace for recording observations, reminders, and context about a lead. Notes are visible only to you and your team — leads never see them.
Use notes to track details that do not fit neatly into the contact form:
Budget range discussed during an initial consultation
Venue preferences or event date flexibility
Referral source or how the lead heard about your business
Follow-up reminders or next steps after a phone call
Specific requests like "wants sunset ceremony photos" or "allergies for catering menu"
To add a note, open the Notes tab and type in the notes input area. You can edit any existing note inline or delete notes you no longer need.
Change a lead's status
Wedy Pro uses two lead statuses: Active and Inactive. You can change a lead's status in two ways:
From the detail view — On the Edit Contact tab, use the Lead Status toggle at the top of the form, then click Save.
From the leads list — Click the status badge directly on any lead row. A dropdown appears with Active (green dot) and Inactive (gray dot) options. The status updates immediately — no save button needed.
Marking cold or unresponsive leads as Inactive keeps your Active leads list focused on the contacts who are most likely to book. Inactive leads are not deleted — you can reactivate them at any time.
Edit a lead from the leads list
You do not always need to open the full detail view to make quick changes. From the leads list, click the action menu (⋮) on any lead row and select Edit. The Edit Lead modal opens pre-filled with the lead's current data. Modify any fields and click Update Lead to save your changes.
Delete a lead
To permanently remove a lead from your CRM:
In the leads list, click the action menu (⋮) on the lead's row.
Select Delete from the dropdown.
A confirmation modal appears: Are you sure you want to delete [Lead Name]? with a warning that the action cannot be undone.
Click Delete Lead to confirm, or Cancel to keep the lead.
Deletion is permanent — all data associated with the lead, including notes and communication history, is removed. If you are unsure, consider marking the lead as Inactive instead of deleting.
Frequently asked questions
Do leads see the notes I add to their profile?
No. Notes on the Notes tab are completely private to you and your team. Leads have no access to your internal notes.
Which email address do leads see when I send them a message?
Leads see your real business email address — the one you connected in Account > Integrations. Wedy Pro sends all emails through your own email account, so every message looks like it came directly from you.
Can I send emails to a lead if I have not connected my email?
No. The Communication tab requires an active email connection. Connect your email from Account > Integrations to start sending emails from within Wedy Pro.
What happens to a lead's data when I convert them to a project?
The lead's contact information carries over to the new project. You can continue managing the client relationship from the project's detail view, which includes its own Activity, Files, Tasks, Financials, and Notes tabs. Learn more in Convert a Lead Into a Project.
Can I restore a deleted lead?
No. Deleting a lead is permanent and cannot be undone. If you want to keep the lead's data but remove them from your active pipeline, mark them as Inactive instead.
