Overview
As your event business grows, you will work with leads who share a common connection — multiple contacts at the same venue, a planning firm that sends you repeat referrals, or a corporate account with several event coordinators. Organizations in Wedy Pro let you group these related leads under a single company or entity, so you can see at a glance who belongs where and manage those relationships more efficiently.
Time to complete: 3–5 minutes.
What are organizations?
An organization in Wedy Pro is a named group that represents a company, venue, agency, or any entity that connects multiple leads. When you assign leads to an organization, you create a clear link between contacts who share a business relationship — making it easier to track referral sources, manage corporate accounts, and keep your lead list organized.
For example, a wedding planner at a popular venue might refer three different couples to you over the course of a season. By creating an organization for that venue, you can instantly see all the leads that originated from the same place.
How to create an organization
You can create an organization directly from the Leads page. Each organization includes basic company details and at least one associated contact.
Navigate to Leads in the CRM section of the sidebar.
Click the Create dropdown button in the top-right corner of the page.
Select Create Organization from the dropdown menu.
In the Add Organization modal, fill in the organization details:
Name (required) — the company or entity name (e.g., "Rosewood Estate" or "Bright Events Agency").
Industry — select the industry that best describes the organization.
Click More details to optionally add:
Phone Number — the organization's main phone line.
Website — the organization's website URL.
Mailing Address — the physical address.
In the Clients section, choose how to associate a contact:
Existing contact — search for a lead already in your CRM and link them to this organization.
Create new contact — add a new lead by entering their Name, Email address, and optionally their Job title and Phone number.
Click Add to create the organization and associate the contact.
How to assign a lead to an organization
You can connect any existing lead to an organization from the lead's contact details. This is useful when a new lead comes in and you recognize they are part of a company or group you already track.
Open the lead by clicking their name in the Leads list.
On the Edit Contact tab, scroll to the Professional Details section.
Click the Organization dropdown.
Select the organization you want to assign, or choose No Organization to remove an existing assignment.
Click Save in the top-right corner to apply the change.
You can also set the organization when creating a new lead. In the Create New Lead modal, the Organization dropdown lists all your existing organizations along with their industry. Select the appropriate one before clicking Create Lead.
How to view leads by organization
Once leads are assigned to organizations, the organization name appears in the Organization column of your Leads table — both in list view and grid view. This gives you a quick visual reference for which contacts belong to which entity.
To find all leads from a specific organization, use the Search leads... bar at the top of the Leads page and type the organization name. Leads associated with that organization will appear in the results.
When to use organizations
Organizations are especially valuable for event vendors who work with repeat referral sources or multi-contact accounts. Here are practical scenarios where grouping leads makes a difference:
Venue referrals — A venue recommends your services to every couple who books with them. Create an organization for the venue and assign each referred lead, so you can track how many bookings that venue generates over time.
Planning agencies — A wedding planning firm manages multiple events and sends you leads for different clients. Group all those contacts under the agency's organization to keep the relationship clear.
Corporate accounts — A company hires you for multiple corporate events throughout the year. Each event coordinator becomes a lead under the company's organization, making it easy to see the full scope of the relationship.
Referral partners — Fellow vendors (photographers, florists, DJs) who regularly send clients your way. Create an organization for each partner to measure the strength of your referral network.
Venues with in-house teams — When you work with a venue that has multiple event managers, group them under one organization so you never lose track of who works where.
Tips
Name organizations consistently — use the official business name rather than a contact person's name. This keeps your list clean as contacts change roles.
Add the industry — the industry field helps you categorize organizations at a glance, especially when you work across different segments of the events industry.
Use the website field — storing the organization's website URL gives you quick access for reference without leaving Wedy Pro.
Reassign leads as needed — if a contact moves to a different company, update their organization assignment from the Edit Contact tab to keep your records accurate.
Combine with lead sources — pair organizations with lead source tracking in your Projects to get a complete picture of which referral partners drive the most revenue.
Frequently asked questions
Can I create an organization without adding a contact?
No. The Add Organization modal requires you to associate at least one contact — either by selecting an existing lead or creating a new one. This ensures every organization has at least one lead linked to it from the start.
Can I assign multiple leads to the same organization?
Yes. After creating an organization, you can assign additional leads to it by editing each lead's contact details. Open the lead, go to the Edit Contact tab, select the organization from the Organization dropdown, and click Save.
What happens to the organization if I delete a lead?
Deleting a lead removes that contact from the organization, but the organization itself remains intact along with any other leads assigned to it.
Is this the same as tags or lead sources?
No. Organizations group leads by their business affiliation — the company or entity they belong to. Tags and lead sources (configured in Account → Project Settings) are used to categorize and track Projects by event type or marketing channel. They serve complementary purposes.
