Connect your Google or Outlook calendar to Wedy Pro to sync projects, bookings, and client meetings — and enable scheduling with real availability.

Overview

Connecting your calendar to Wedy Pro keeps your event business in sync. Once connected, your projects and client bookings flow directly into your calendar, your availability is reflected when clients schedule appointments, and you can manage meetings without jumping between tools.


Whether you use Google Calendar or Outlook, the connection takes less than two minutes and works the same way.

What connecting your calendar does

Once your calendar is connected, Wedy Pro gains three capabilities:

  • Event sync — Calendar events and bookings sync with your Wedy Pro projects, so your schedule is always current.

  • Meeting management — Schedule and manage client meetings directly from lead conversations without leaving Wedy Pro.

  • Availability — Your calendar availability is considered when scheduling appointments, so clients only see times you are actually free.


Calendar sync is also required for Schedulers to show accurate availability. If you use Wedy Pro's Scheduler tool to let clients book consultations, your calendar must be connected first.


How to connect your calendar

  1. In the left sidebar, click Account.

  2. In the Account menu, click Integrations.

  3. Locate the Calendar card. It will show a Not Connected badge if no calendar is linked yet.

  4. Click Connect.

  5. You are redirected to a secure authentication page. Sign in with your Google or Outlook account and grant the requested permissions.

  6. After authorizing, you are returned to Wedy Pro. The Calendar card now shows a Connected badge — your calendar is active.


The connection is secure. You can disconnect at any time.


How to disconnect your calendar

  1. Navigate to Account > Integrations.

  2. On the Calendar card, click Disconnect.

  3. Confirm in the dialog that appears.


After disconnecting, calendar sync stops and your Schedulers will no longer reflect live availability. Reconnect at any time by following the steps above.


Tips for event professionals

  • Connect before creating Schedulers. Your Scheduler uses your calendar availability to determine open slots. Without a connected calendar, availability cannot be calculated accurately — connect first, then set up your Scheduler.

  • Use your primary business calendar. Connect the same calendar you use day-to-day for shoots, site visits, and client calls. This ensures Wedy Pro sees your real schedule and prevents double-bookings.

  • Keep personal events on a separate calendar. If you share a calendar account for both personal and business use, consider creating a dedicated business-only calendar and connecting that one. This way, personal appointments block your availability without exposing their details — clients only see whether a time is free or busy, never the event title or description.

  • Team members manage their own connection. Each team member connects their own calendar from their personal Account > Integrations page. One person's calendar connection does not affect others on the team.


Troubleshooting

If you connect your calendar but availability still shows as unavailable in Schedulers, try disconnecting and reconnecting your calendar, then wait a moment for the sync to refresh. If you recently added new events to your external calendar and they are not reflected in Wedy Pro, disconnecting and reconnecting will trigger a fresh sync.


If the Connect button redirects you but the Calendar card still shows Not Connected after you return, confirm that you completed the authorization step on your provider's page and did not close the browser window early. Then try connecting again.


Frequently asked questions

Which calendar providers does Wedy Pro support?


Wedy Pro supports Google Calendar and Microsoft Outlook. The connection flow works the same way for both — click Connect on the Calendar card and sign in with your preferred account.


Do I need a connected calendar to use Wedy Pro?


No. Calendar connection is optional for most features. It is required if you want to use Schedulers with live availability or sync project events to your external calendar automatically.


Will my calendar events be visible to my clients?


No. Wedy Pro reads your availability to block off busy times in your Scheduler — it does not share your calendar contents with clients. Clients only see whether a time slot is available or unavailable.


Can I connect more than one calendar?


Each Wedy Pro account supports one connected calendar at a time. To switch calendars, disconnect the current one and connect the new account.


I don't see the Calendar card. What should I check?


Access to the Integrations page is controlled by your role and permission settings. If you are a team member and cannot see the Integrations page, ask your account owner to check your permissions under Account > Team > Permissions.
