Sync Your Google or Outlook Calendar

Connect your Google or Outlook calendar to Wedy Pro for two-way sync. External events appear in Wedy Pro; meetings you create sync back automatically.

Overview

Connecting your external calendar to Wedy Pro creates a two-way sync between your personal or business calendar and your Wedy Pro schedule. Once connected:

  • Events from your external calendar appear on your Wedy Pro calendar, so you can see personal commitments alongside client work.

  • Meetings you create in Wedy Pro automatically appear in your external calendar.

  • Your Schedulers use your calendar to detect conflicts — preventing clients from booking times you are already busy.


Without a connected calendar, Schedulers cannot check availability, and clients may be able to book times that conflict with your existing schedule.

How to Connect Your Calendar

  1. In the Wedy Pro sidebar, click Calendar.

  2. At the bottom of the left sidebar, click Calendar Settings.

  3. In the Calendar Settings modal, find the Connected Calendar section and click Connect.

  4. You are redirected to a secure authentication page. Sign in with your Google or Outlook account and grant the requested permissions.

  5. After completing authentication, you are redirected back to Wedy Pro.

  6. Your connected calendar account email now appears in the Connected Calendar section.


Alternatively, you can connect your calendar from Account > Integrations — navigate there from the sidebar, find the Calendar section, and click Connect.


Select Which Calendars to Import

Most calendar accounts contain multiple calendars — for example, a personal calendar and a work calendar. After connecting, Wedy Pro lets you choose which ones to sync.

  1. In the Calendar Settings modal, find the section Select calendars you'd like to import into Wedy.

  2. Your primary calendar is always included and cannot be deselected.

  3. Check any additional calendars you want events imported from.

  4. Click Done to save your selection.


Imported calendar events appear in the left sidebar under your provider name (for example, Google or Outlook). You can show or hide each calendar using the checkboxes in the sidebar Calendars section.


What Syncs After Connecting

Once your calendar is connected, the following events are kept in sync:

  • Meetings created in Wedy Pro — any meeting you create from the Calendar page automatically appears in your connected external calendar.

  • Scheduler bookings — when a client books time through one of your embedded Schedulers, the appointment is added to your Wedy Pro calendar and synced to your external calendar.

  • External calendar events — events from your connected external calendar appear on your Wedy Pro calendar. When marked as Busy, they block availability on your Schedulers.


What Does NOT Sync

Some events do not appear on the sync:

  • Project events without dates — Projects that have no event date set will not appear on the external calendar. Set a date on the project first.

  • Payment reminders — Invoice due dates and payment milestones are managed inside the Payments section, not through the calendar sync.


External Events Are Read-Only

Events pulled in from your external calendar are read-only inside Wedy Pro — you cannot edit or delete them from within Wedy Pro. To change an external event, open it in your external calendar application and make your edits there. The updated event will reflect in Wedy Pro automatically.


One exception: you can toggle the Busy / Free status on events from your primary connected calendar by clicking the pencil icon in the event popover. This controls whether the time slot blocks availability on your Schedulers.


Managing Your Calendar Connection

To review or change your connected calendar at any time:

  1. Click Calendar Settings at the bottom of the Calendar sidebar.

  2. In the Connected Calendar section, click Manage. This links to Account > Integrations where you can disconnect or reconnect.


You can connect one external calendar account at a time. To switch providers, disconnect your current calendar from Account > Integrations and connect the new account.


When you disconnect a calendar, events that were already synced remain visible on your Wedy Pro calendar, but future sync stops immediately. New events from your external calendar will no longer appear, and new meetings created in Wedy Pro will no longer be sent to the external calendar.


Timezone Settings

Your calendar uses the timezone configured in your Wedy Pro account. You can review or update it directly from the Calendar Settings modal — find the Timezone Preference section and click Change. This links to Account > Preferences where you can select a different timezone.


Keeping your timezone accurate ensures that Scheduler availability slots and meeting times display correctly for both you and your clients.


Troubleshooting: Events Not Appearing

An event from my external calendar is not showing in Wedy Pro.


Check the following: (1) Confirm the calendar containing that event is selected in Calendar Settings > Select calendars you'd like to import into Wedy. (2) Confirm the filter checkbox for that calendar is checked in the sidebar Calendars section. (3) If the calendar was recently connected, allow a few moments for the initial sync to complete and then refresh the page.


A meeting I created in Wedy Pro is not showing in my external calendar.


Confirm your calendar is still connected by opening Calendar Settings and checking the Connected Calendar section. If it shows No calendar connected, reconnect your calendar via Account > Integrations. Meetings created while the calendar was disconnected will not retroactively sync — only new meetings created after reconnection will appear externally.


My Scheduler is still showing me as unavailable during times I have deleted from my external calendar.


Deleted external events should stop blocking Scheduler availability once the sync updates. If availability has not refreshed, open Calendar Settings, confirm the calendar is connected, and refresh the page. If the issue persists, disconnect and reconnect your calendar from Account > Integrations.


Frequently asked questions

Which calendar providers are supported?


Wedy Pro supports Google Calendar (via your Gmail account) and Outlook Calendar (via your Microsoft account). Connect from Account > Integrations or from the Calendar Settings modal.


Can I connect more than one calendar account?


You can connect one external calendar account at a time. If you need events from multiple calendars imported, select them inside the Calendar Settings modal under Select calendars you'd like to import into Wedy — most accounts have more than one calendar available to select.


Does my calendar connection affect my Schedulers?


Yes — and this is critical. Your Schedulers use your connected calendar to detect scheduling conflicts. Without a connected calendar, Schedulers cannot check your real availability and clients may book time slots that conflict with existing commitments. Always connect your calendar before sharing or embedding a Scheduler.


What happens to synced events if I disconnect my calendar?


Events that have already synced remain visible on your Wedy Pro calendar. However, future sync stops immediately — new external events will not appear in Wedy Pro, and new meetings created in Wedy Pro will not be sent to your external calendar.


Can team members connect their own calendars?


Each team member can connect their own external calendar account, provided their account owner has granted them calendar access under Account > Team > Permissions. If the option is not visible, ask your team Owner to review permissions.


How do I change my timezone?


Open Calendar Settings from the bottom of the Calendar sidebar and click Change in the Timezone Preference section. This takes you to Account > Preferences where you can update your timezone selection.
