Wedy Pro keeps you informed at every step of your client relationships. Rather than a separate inbox, activity and notifications are woven directly into the context where they matter most — inside each lead, project, and client workspace. Every email exchange, document signature, payment, and task update is logged automatically so you always know exactly what has happened and what needs your attention next.

Activity Tracking in Leads and Projects

Every lead and project in Wedy Pro maintains a chronological activity timeline. The timeline is your single source of truth for what has happened with a client — capturing emails, document events, payment milestones, task completions, and stage changes in the order they occurred. Every entry carries a precise timestamp, so you always know exactly when an email was opened, a document was signed, or a payment was received — giving you the context you need to follow up with confidence and never miss a beat with a client.


Here is what gets tracked automatically in your timelines:

  • Emails sent and received — All emails exchanged with a client through your connected email account are logged directly in the lead or project timeline, keeping your client communication searchable and in context.

  • Document events — When a contract is signed, a proposal is viewed, or an invoice is paid, a timestamped entry appears in the timeline so you have a clear record without checking each document individually.

  • Payment milestones — First payments received, invoices paid in full, and payment reminders sent all generate timeline entries so you can track financial progress at a glance.

  • Stage changes — When a project moves from one stage to the next, the change is recorded in the timeline with a timestamp.

  • Task completions — Task activity linked to a project is reflected in the project timeline.

  • Scheduler bookings — When a client books an appointment through your scheduler, the booking appears in the relevant lead or project timeline.


How Email Activity Appears in Your Timelines

When your email account is connected in Account > Integrations, incoming emails from clients are automatically imported into the relevant project or lead workspace. This means you do not need to copy-paste email threads — every reply a client sends is waiting for you inside the project.


Outgoing emails sent from Wedy Pro are also recorded in the timeline. Because all emails are sent from your connected business email address, your clients always see a professional message from your real address — never a generic platform address.


To get the most out of activity tracking, make sure your email is connected:

  1. Navigate to Account in the sidebar, then select Integrations.

  2. Locate the Email card and click Connect.

  3. Complete the authentication flow and return to Wedy Pro.


Once connected, incoming and outgoing emails are automatically linked to the correct client workspace.

Payment Reminders as Proactive Notifications

Beyond passive activity tracking, Wedy Pro can proactively notify your clients about upcoming and overdue invoices through automated payment reminders. These reminders are sent automatically on a schedule you control — no manual follow-up needed.


You can configure five reminder types from Account > Document Settings:

  • Upcoming — Sent 7 days before the invoice due date

  • Recurring/Autopay — Sent 1 day before the due date for recurring or autopay invoices

  • Payment due date — Sent on the due date itself

  • Overdue +2 — Sent 2 days after the due date if the invoice remains unpaid

  • Overdue +7 — Sent 7 days after the due date


Each reminder type can be toggled on or off individually. You can also click Edit email next to any reminder type to customize the subject line and message body — while still keeping the messaging generic enough to apply across all your clients. When you are satisfied with a customized reminder, click SAVE. If you want to revert to the original text, click Reset to default message.


Automation-Triggered Notifications

Wedy Pro's Automations builder lets you send emails automatically in response to client actions — giving you a way to proactively reach out the moment something important happens. For example, you can automatically send a welcome email when a lead form is submitted, a follow-up when a contract is signed, or a thank-you note when an invoice is paid in full.


These automated emails are sent from your connected email account (the same address your clients already know), so they feel personal rather than automated. You can build these workflows from the Automations section of the sidebar.


Staying Informed with Calendar Sync

When your calendar is connected in Account > Integrations, Wedy Pro syncs projects, bookings, and client meetings directly to your calendar. This means key dates — event dates, payment due dates, and scheduled appointments — are visible in the same calendar view you already use every day.


Calendar sync gives you a bird's-eye view of what is coming up across all your clients, without having to log into Wedy Pro separately to check for upcoming deadlines.


Frequently asked questions

Where do I find the activity feed for a specific client?


Open the relevant Lead or Project from the sidebar. The timeline is displayed within that workspace and shows all activity associated with that client in chronological order.


Do I need to manually log emails I send to clients?


No. When your email account is connected in Account > Integrations, emails you send from within Wedy Pro are automatically logged in the client's timeline. Replies from clients are also imported automatically.


Can I customize the payment reminder emails?


Yes. Go to Account > Document Settings, scroll to the Payment Reminders section, and click Edit email next to any reminder type to update the subject and body. Click SAVE to apply your changes, or Reset to default message to restore the original text.


What happens if I have not connected my email?


Without a connected email, outgoing emails from Wedy Pro cannot be sent from your business address, and incoming client emails will not be automatically imported into timelines. Navigate to Account > Integrations to connect your email and enable full activity tracking.


Can my team members see the activity feed?


Team members with access to projects and leads can view their timelines. To control what team members can access across the account, go to Account > Team > Permissions.
