About the Template Gallery
The Template Gallery is a curated collection of community-shared document templates contributed by event professionals on Wedy Pro. Instead of building every contract, proposal, or invoice from scratch, you can browse the gallery, copy a template that fits your business, and customize it with your own branding, pricing, and language.
The gallery is available to all vendors and is organized by document type so you can quickly find the format you need — whether that's a photographer's booking contract, a caterer's invoice, or a florist's service questionnaire.
How to Access the Template Gallery
To open the Template Gallery in Wedy Pro:
Navigate to Templates in the sidebar.
Click Template Gallery under Templates.
You can also reach the gallery directly from the Document Templates page — look for the Browse template gallery link at the top of the page (next to the arrow icon). It takes you straight to Template Gallery without leaving the Templates section.
Browse and Filter Templates
The Template Gallery has a search bar at the top and a set of page type filter chips below it. Use these to narrow the gallery down to exactly what you're looking for.
Search bar — The search placeholder reads "What would you like to create?" Type any keyword (e.g., "wedding contract", "day-of timeline", "deposit invoice") to surface matching templates from the community library.
Filter chips — Click any of the following to filter by document page type:
All — Show every template in the gallery regardless of type.
Proposals — Templates designed as client proposals and service overviews.
Invoices — Templates formatted for billing clients.
Contracts — Booking agreements and service contracts.
Questionnaires — Client intake forms, planning questionnaires, and feedback forms.
Cover — Branded cover pages for multi-page documents.
Each template card in the gallery shows the template title, the page types it includes (e.g., Contract, Invoice), and the vendor who created it ("By [name]"). Multi-page templates are clearly labeled so you know what you're getting before you copy it.
Copy a Template to Your Library
Copying a gallery template adds your own editable version to your private Document Templates library. The original gallery template is not modified — you receive an independent copy that only you can see and edit.
To copy a template from the gallery:
In the Template Gallery, click the template card you want to use.
A Use Template modal opens confirming the copy action.
Confirm to add the template to your library.
The copied template appears in Templates > Documents and is ready to edit.
Once copied, the template lives entirely in your account. Any edits you make do not affect the original gallery listing or any other vendor who has copied the same template.
Customize a Copied Template
After copying a gallery template, open it in the Smart Document editor to make it your own. Here's how:
Go to Templates > Documents.
Find the copied template and click the dropdown menu (•••) on the card.
Select Edit to open the template in the Smart Document editor.
Update the content — replace placeholder text with your business name, service descriptions, pricing, and terms.
Add your branding by applying your company theme in the Themes tab in the right panel.
Save your changes. The template is now fully personalized and ready to use with clients.
Because gallery templates are built by real event professionals, they often include well-structured clause language, smart questionnaire flows, and payment layouts that you can adapt rather than author from scratch. Think of them as a strong starting point, not a final draft.
Find the Right Template for Your Business Category
The Template Gallery is organized with event professionals in mind. When vendors share templates, they are tagged by the vendor category they were designed for — making it easier for a florist to find florist-relevant contracts, or a venue to find venue-specific questionnaires.
You can browse templates by vendor type using the category sidebar when a category is selected. This filters the gallery to show only templates contributed by vendors in that specialization, giving you industry-specific language and structure that's already relevant to your work.
Whether you're a photographer looking for a session agreement, a DJ needing a performance contract, or a caterer building a dietary intake questionnaire — the gallery surfaces templates created by vendors who have faced the same client scenarios you do.
Gallery Content and Availability
The Template Gallery is powered by community submissions from Wedy Pro vendors. All templates are reviewed by Wedy before they appear publicly. As more vendors share their documents with the community, the gallery grows to cover a wider range of event specializations and document types.
If the gallery shows a Gallery coming soon! message, templates are still being added and reviewed. Check back as the collection continues to expand. In the meantime, you can build your own templates from scratch in Templates > Documents and optionally share them to the gallery to contribute to the community.
For details on contributing your own templates to the gallery, see Create and Manage Document Templates — specifically the section on sharing templates to the gallery.
Frequently asked questions
Is the gallery template I copy connected to the original?
No. When you copy a gallery template, you receive a fully independent copy in your own Document Templates library. Editing your copy does not affect the original gallery template or any other vendor's copy. The gallery original remains unchanged.
Can I use a gallery template to send a document to a client?
Yes. Once you have copied a gallery template to your library and customized it, you can use it just like any other document template. Open the template dropdown and select Use Template to create a new Smart Document linked to a project or lead. The document is then sent to your client through your own connected email address.
What document types are available in the gallery?
Gallery templates can include any of the five document page types supported in Wedy Pro: Invoices, Contracts, Questionnaires, Cover Pages, and Custom Pages. Many gallery templates are multi-page documents — for example, a single template may include a Cover Page, a Contract, and an Invoice all in one.
What if I don't find a template that fits my business?
If nothing in the gallery quite fits, create your own template from scratch in Templates > Documents. You can build any combination of page types in the Smart Document editor and save the result as a reusable template. Once your template is polished, you also have the option to share it to the gallery so other vendors can benefit from your work.
Can my team members access the Template Gallery?
Access to the Template Gallery is controlled by team permissions. Owners have full access. Admins and members can access the gallery if the Owner has granted them document template permissions in Account settings.
