Add Comments and Files to Tasks

Learn how to post comments, reply to threads, attach files, and collaborate with your team on individual tasks in Wedy Pro.

Overview

Every task in Wedy Pro includes a built-in collaboration space where you and your team can discuss progress, share feedback, and attach relevant files — all without leaving the task board. Whether a wedding photographer needs to share a shot list with a second shooter or a planner wants to loop in a florist on decor notes, the Task Detail Panel keeps every conversation and document connected to the specific action item it belongs to.

How to open the Task Detail Panel

To add comments or files to a task in Wedy Pro, open the Task Detail Panel by clicking on any task row. You can do this from two places:

  • The Tasks tab inside a project detail page.

  • The global Project Tasks board in the CRM section of the sidebar.

  1. Navigate to Projects in the CRM section of the sidebar and open a project, then click the Tasks tab. Alternatively, navigate directly to Project Tasks in the sidebar.

  2. Click any task row to open the Task Detail Panel on the right side of the screen.

  3. The panel displays the task title (editable inline) and all column values at the top.

  4. Below the column values, two tabs appear: Updates and Files.


To close the panel, click outside it or press Escape.


How to post a comment

The Updates tab is where you and your team discuss a specific task. Comments create a discussion thread that stays attached to the task — no scattered emails or lost messages.

  1. Open the Task Detail Panel by clicking a task row.

  2. Make sure the Updates tab is selected.

  3. Click the Write an update... field.

  4. Type your comment. To notify a team member, type @ followed by their name — an autocomplete dropdown appears so you can select the right person.

  5. Submit your comment to add it to the task's discussion thread.


When you @mention a team member in a comment, they receive an email notification so they never miss an important update.


Task comments are ideal for quick, contextual communication. Instead of sending a separate email about confirming a vendor's setup time, a wedding planner can comment directly on the "Confirm venue access" task: "Venue confirmed 2 PM load-in — parking in the east lot." Everyone on the project sees the update right where it matters.


How to reply to a comment

Comments support threaded replies, keeping conversations organized beneath the original message. To reply:

  1. Find the comment you want to respond to in the Updates tab.

  2. Click Reply beneath the comment.

  3. Type your reply. You can @mention team members in replies the same way you do in comments.

  4. Submit your reply.


Your reply appears beneath the original comment, keeping the conversation organized. This prevents confusion from flat comment lists where responses get separated from the messages they reference.


For example, if a lead photographer posts "Sneak peeks ready for client review" on a delivery task, the second shooter can reply "Added my ceremony shots to the gallery — 47 images" without starting a new thread.


How to edit or delete a comment

You can modify or remove your own comments and replies after posting:

  • Edit — Locate your comment in the Updates feed, select the edit option, make your changes, and save. Use this to correct details or add information you missed.

  • Delete — Locate your comment and select the delete option. The comment is removed from the thread.


You can only edit or delete comments you authored. Comments from other team members are view-only, preserving the full record of the conversation.


How to attach files to a task

The Files tab lets you attach documents, images, and other assets directly to individual tasks. To attach a file:

  1. Open the Task Detail Panel by clicking the task row.

  2. Click the Files tab.

  3. Upload the file you want to attach to this task.

  4. The file appears in the list with its name, size, and upload date.


You can attach multiple files to a single task — contracts, mood boards, shot lists, timelines, floor plans, or any reference material your team needs for that deliverable.


Task-level attachments keep the right documents connected to the right action items. A florist managing a "Finalize centerpiece design" task can attach the client's inspiration photos and the supplier's availability list directly to that task, so the team has everything in one place without searching through emails or shared folders.


How to download task files

Any team member with access to the project can download files attached to a task.

  1. Open the Task Detail Panel and click the Files tab.

  2. Find the file you need in the list.

  3. Click the download option next to the file.

  4. The file saves to your device, ready for use.


This is useful when you need a local copy — reviewing a printed timeline at the venue, for instance, or sending a mood board to a sub-contractor outside of Wedy Pro.


How to remove files from a task

If a file is outdated or was uploaded to the wrong task, you can remove it:

  1. Open the Task Detail Panel and click the Files tab.

  2. Find the file you want to remove.

  3. Click the remove option next to the file.


Remove outdated versions and superseded drafts to keep your Files tab focused on current, relevant documents.


Practical uses for task comments and files

Task-level comments and files are most powerful when used together to create a complete record of each deliverable. Here are scenarios where event vendors get the most value:


Contract and proposal coordination

Attach the signed contract PDF to a "Send Contract" task. Comment when it is sent, and your assistant can reply to confirm the client received it. The entire history — who sent what, when the client signed, and the signed document itself — lives on one task.


Creative review and approvals

A photographer can attach a sneak peek gallery to a "Deliver Sneak Peeks" task and comment "12 images ready for client review." The studio manager replies with feedback, and the final approved set is attached as an updated file.


Vendor coordination for planners

Event planners coordinating with florists, caterers, and DJs can attach each vendor's setup requirements to a "Confirm vendor logistics" task. Team members comment with updates as each vendor confirms, creating a single source of truth for day-of logistics.


Timeline and run-of-show planning

Attach the day-of timeline to a "Finalize timeline" task. As details change — ceremony start time shifts, cocktail hour location moves — comment with the update and attach the revised version. Your team always knows which file is current and why it changed.


Tips

  • Use @mentions to notify teammates — When you @mention a team member in a comment or reply, they receive an email notification. This is the fastest way to get someone's attention on a specific task.

  • Keep files on the task, not in email — Attaching contracts, timelines, and reference materials directly to the task means your team always knows where to find them.

  • Thread your replies — Use the Reply option instead of posting new top-level comments to keep discussions organized and easy to follow.

  • Name files clearly — Use descriptive filenames like "Johnson-Wedding-Timeline-v2.pdf" so team members can identify documents at a glance.

  • Pair task files with Smart Documents — Use the project-level Files tab for your formal Smart Documents (contracts, invoices, proposals) and the task-level Files tab for supporting materials tied to specific action items — mood boards, shot lists, reference photos.


Frequently asked questions

Who can see task comments and files?


Everyone with access to the project can view the Updates and Files tabs on any task within that project. Clients never see your task lists, comments, or file attachments — these are internal to your team.


Can I access task comments from the global Project Tasks board?


Yes. Clicking any task row from either the Tasks tab inside a project or the global Project Tasks board opens the same Task Detail Panel with the Updates and Files tabs.


What file types can I attach to a task?


You can attach the file types your team works with most — PDFs, images, spreadsheets, and documents. This covers contracts, mood boards, timelines, invoices, and photo selections.


Can I edit someone else's comment?


No. You can only edit or delete comments and replies that you authored. Other team members' comments are view-only, preserving the full conversation record.


What is the difference between the Files tab on a task and the Files tab on the project?


The project-level Files tab shows all Smart Documents (contracts, invoices, proposals) linked to the project and email attachments from client conversations. The task-level Files tab shows files attached to that specific task only. Use the project Files tab for formal documents and the task Files tab for supporting materials tied to a particular action item.


Is there a limit to how many files I can attach to a single task?


There is no strict limit. Attach as many files as the task requires — contracts, photos, timelines, and other reference materials can all live on a single task.
