Use the Project Tasks Board to View and Filter Tasks

Learn how to navigate the global Project Tasks board in Wedy Pro to search, filter, sort, and manage task columns across all your client projects.

Overview

When you are managing multiple client events at once, individual project task lists only tell part of the story. The Project Tasks board in Wedy Pro gives you a single, scrollable view of every task across every project in your CRM — grouped by event month so you always know what is coming up and what needs attention now.


This article walks through how to navigate the board, search for specific tasks, filter by team member, sort by any column, and customize which columns are visible. For creating and editing individual tasks within a project, see Create and Manage Tasks.

How to open the Project Tasks board

To access the global task board in Wedy Pro:

  1. Navigate to Project Tasks in the sidebar under the CRM section.

  2. The Project Tasks board loads, showing all tasks across every project in your CRM.


This is different from the Tasks tab inside an individual project, which only shows tasks for that one client. The global board is your cross-project command center — ideal for weekly planning, team stand-ups, or prioritizing your workload across upcoming events.


Understanding the month-based layout

The Project Tasks board organizes projects by their event date into monthly groups. You will see sections like February 2026, March 2026, and so on — each containing the projects scheduled for that month. Projects without a set event date appear under a TBD section at the bottom, so undated work is never hidden.


Each month section is collapsible — click the month header to collapse or expand it. Within each month, each project row is expandable — click a project to reveal its task table with all columns and rows.


This layout is designed for event vendors who think in terms of event dates. A wedding planner with three events in March and five in April can collapse February (already done), expand March to focus on immediate priorities, and glance at April to spot upcoming deadlines. A photographer managing a busy summer season can collapse the slow months and zero in on peak weekends.


As your project list grows, the board uses infinite scroll — additional months and projects load automatically as you scroll down, so you never need to paginate through separate pages.


How to search projects and tasks

The search bar at the top of the Project Tasks board searches both project names and task titles simultaneously. To find a specific item:

  1. Click the search bar at the top of the board.

  2. Type a keyword — for example, a client name, event name, or task title like "contract" or "gallery."

  3. The board filters in real time, showing only projects and tasks that match your search.


This combined search is especially useful when you remember the task but not which project it belongs to. Searching "invoice" instantly surfaces every invoice-related task across your entire business.


How to filter tasks by person

When you work with a team, the person filter lets you focus on a specific team member's workload. To filter by assignee:

  1. Click the Person filter at the top of the board.

  2. A multi-select dropdown appears showing team members with their avatars.

  3. Click one or more team members to filter the board.


The board immediately updates to show only tasks assigned to the selected people. Avatar chips appear to confirm your active filter. Click a chip again to remove that person from the filter.


A florist managing a team of three designers could filter by a specific designer to review their upcoming deliverables during a one-on-one check-in, then switch to another designer's view, and finally clear all filters to see the full board again.


How to sort tasks by any column

The sort dropdown lets you reorder tasks across the board by any column. To sort:

  1. Click the Sort dropdown at the top of the board.

  2. Select the column you want to sort by — Task Name, or any custom column you have added (Status, Date, People, Timeline, Numbers, etc.).

  3. Choose ascending or descending order.


Sorting applies across all expanded projects, so you can quickly spot tasks that are overdue (sort by Date ascending), find unassigned items (sort by People), or group tasks by status to see what is still in progress.


How to show and hide columns

Not every column is relevant all the time. The Hide dropdown lets you toggle column visibility to keep your board clean:

  1. Click the Hide dropdown at the top of the board.

  2. You will see two groups of toggleable columns:


Event columns

These columns display project-level information alongside each project row:

  • Type — The project type (e.g., Wedding, Corporate Event).

  • Date — The project's event date.

  • Tags — Event Tags applied to the project.

  • Stage — The project's current pipeline stage.


Task columns

These columns appear inside each expanded project's task table — Status, People, Date, Timeline, Text, Numbers, Checkbox, and Dropdown. Toggle any column off to simplify your view, or turn them all on for maximum detail.


Hiding columns does not delete data. Your task values are preserved — the column is simply hidden from the current view. Toggle it back on at any time to see the data again.

How to manage task columns

You can fully customize the columns on your task board to match your workflow. Column changes apply across all projects on the board. Wedy Pro offers eight column types: Status, People, Date, Timeline, Text, Numbers, Checkbox, and Dropdown.


Add a new column

Click the + button at the right end of the column headers. Select a column type and enter a name — for example, a "Priority" dropdown or a "Notes" text column. The new column appears in every project's task table on the board.


Edit a column name

Click the column header and select the edit option to rename it. This updates the column name across every project on the board.


Reorder columns

Drag and drop column headers to rearrange them. Place the columns you use most frequently (like Status and People) toward the left so they are always visible, even on narrower screens.


Delete a column

Click the column header and select the delete option. A confirmation prompt appears before the column is removed. Deleting a column removes all data in that column across every task — this cannot be undone, so delete with care.


A caterer managing events across different venues, for example, might add a Dropdown column called "Venue" with options for each location, a Numbers column for headcount, and a Date column for the menu confirmation deadline — tailoring the board to the exact information they track for every event.


How to expand and collapse project sections

Managing your view is key when the board grows. Two levels of expand and collapse keep things organized:

  • Month sections — Click a month header (e.g., March 2026) to collapse or expand all projects in that month. Collapse past months to focus on what is ahead.

  • Project rows — Click a project name within a month to expand or collapse its task table. Expand only the projects you are actively working on.


A DJ managing events across multiple weekends could expand just the current week's projects to review tasks before each gig, keeping the rest of the month collapsed for a clean view.


Tips for getting the most from the Project Tasks board

  • Start your week on the global board — Use the Project Tasks board every Monday to scan upcoming deliverables across all clients. Filter by person to delegate, then dive into individual projects for detailed work.

  • Collapse completed months — Keep the board tidy by collapsing months with finished events. This keeps your attention on what is ahead rather than what is done.

  • Use the person filter for team check-ins — During team meetings, filter the board by each team member to review their workload and rebalance assignments as needed.

  • Customize columns once, benefit everywhere — Columns you add to the board appear across every project's task table. Set up your ideal column layout once and it works for all current and future projects.

  • Combine search with filters — Search for a task keyword (like "contract") while filtering by a specific team member to find exactly who is handling that deliverable.

  • Sort by status to batch follow-ups — Group all "Waiting on Client" tasks together by sorting the Status column, then send follow-up emails in one focused session.


Frequently asked questions

Do changes on the global board reflect in individual project tasks?


Yes. The global Project Tasks board and the Tasks tab inside each project show the same underlying data. Any change you make on the global board — updating a status, assigning a person, editing a due date — is immediately reflected inside the individual project, and vice versa.


Can I create new tasks directly from the global board?


Yes. Expand a project on the board, then click + Add subitem at the bottom of its task table. The task is created within that project and visible from both the global board and the project's Tasks tab.


What appears in the TBD section?


Projects that do not have an event date set are grouped under TBD. To move a project out of TBD, open the project, go to the Details tab, and set a Start Date. The project will then appear under the correct month on the board.


Can I filter tasks by status?


The board does not have a dedicated status filter dropdown. However, you can use the Sort function to sort by the Status column, which groups tasks by their status labels across the board. You can also use the search bar to search for specific keywords.


Are tasks visible to clients?


No. Project Tasks are internal to your team. Clients do not see your task lists, statuses, comments, or file attachments. Tasks are a vendor-side tool for managing your workflow.


Do column changes affect all projects?


Yes. Columns are shared across both the global Project Tasks board and the Tasks tab inside individual projects. Adding, renaming, reordering, or deleting a column on the board applies the change everywhere tasks appear.
