Overview
Sometimes your invoice and contract live in separate smart documents — for example, a standalone invoice for pricing and a separate contract for signing. Link Invoice lets you connect them so the contract automatically pulls payment details, service line items, and invoice fields from the linked invoice.
When you edit the invoice, the contract updates on its own. If your client has already signed the contract, you'll get a notification to review the changes before sending.

How to link an invoice to a contract
Open the smart document that contains your contract page.
In the left-hand settings panel, find the Link Invoice section.
Select an invoice document from the dropdown. Only documents in the same project that contain an invoice page will appear.
A confirmation dialog explains how syncing works. Click Link Invoice to confirm.
Once linked, the invoice title appears in the Link Invoice section with an X button to remove the link.
After linking, you can insert Payment Recap and Service Recap blocks into your contract — they will automatically populate with data from the linked invoice.
How syncing works
Once linked, the contract stays in sync with the invoice automatically. Here's what happens when the invoice changes:
Contract is still in draft:
Recap blocks and invoice fields update immediately — no action needed from you.
Contract has been sent but the client hasn't signed yet:
The contract updates automatically to reflect the latest invoice data.
Contract has been sent and the client has already signed:
The contract does not update automatically — this protects the signed agreement.
Instead, a new draft is created with the updated invoice data.
You'll see a blue Linked Invoice Updated banner on the document's response page and a pulsing border on the document card in your project files.
Review the draft and send it when you're ready. The client will need to re-sign the updated version.
How to unlink an invoice
Open the contract document and go to the settings panel.
In the Link Invoice section, click the X button next to the linked invoice title.
Confirm in the dialog that appears. Click Remove Link.
Unlinking stops future syncing. Any content already in the contract (recap blocks, invoice fields) stays as-is — it is not removed.
When the link is removed automatically
The link is cleared automatically in these situations — no action needed from you:
You add an invoice page directly to the contract document. A local invoice page always takes priority. The link is removed and recap blocks remap to the local invoice.
The linked invoice document is deleted or archived. Since the source is gone, the link is cleared on all connected contracts.
The invoice page is removed from the linked document. If the invoice document no longer has an active invoice page, the link is cleared.
Using recap blocks with a linked invoice
Recap blocks display invoice data inside your contract — payment schedules, line items, and totals. With a linked invoice, recap blocks work the same way as with a local invoice page.
Open the contract page in the editor.
Place your cursor where you want the recap.
From the insert menu, choose Payment Recap or Service Recap.
The block inserts as a placeholder and populates with real data after you save the page.
Recap blocks update whenever the linked invoice changes — line items are added, prices change, or payment schedules are adjusted.
Using invoice smart fields with a linked invoice
Invoice smart fields (like invoice total, subtotal, tax, and invoice number) also pull from the linked invoice. Insert them using the @ menu in the contract editor — look for fields that start with invoice.
These fields update automatically alongside recap blocks whenever the linked invoice changes.
Tips
One link per contract. A contract document can link to one invoice document at a time. To switch, unlink the current one first.
Same project only. You can only link to invoice documents within the same project.
Templates don't carry the link. If you clone or duplicate a linked contract, the clone starts without a link. Set it up fresh on the new document.
Check the sync indicator. When a linked invoice updates a signed contract, the document card in your project files shows a pulsing border — a quick visual cue that there's a draft to review.
Frequently asked questions
Can I link the same invoice to multiple contracts?
Yes. Multiple contract documents can link to the same invoice. Each contract syncs independently when the invoice changes.
What if my contract already has its own invoice page?
You can't link an external invoice when the contract already has a local invoice page. The Link Invoice section will be disabled with a tooltip explaining why. Remove the local invoice page first if you want to use an external link instead.
Does unlinking delete the recap blocks from my contract?
No. Unlinking only stops future syncing. The recap content and invoice fields that are already in the contract remain exactly as they are.
What happens if I edit the invoice while the contract is being viewed by my client?
If the contract hasn't been signed yet, the content updates. If it has been signed, a new draft is created for your review — the client continues to see the currently signed version until you send the update.
Can I link an invoice from a different project?
No. The invoice document must be in the same project as the contract document.
