Overview
Every email that Wedy Pro sends on your behalf — documents, automation follow-ups, project communication — goes out through your own business email address. Clients never see a generic platform address. When a couple receives a contract or invoice from you, the sender line shows your name and your domain, exactly as if you sent it from Gmail or Outlook yourself.
To make this work, you connect your email account to Wedy Pro through a secure authorization flow. You never share your email password with Wedy — the connection uses standard OAuth authorization directly with your email provider, and your credentials are fully encrypted and protected throughout the process.
Connecting your email is one of the five core setup steps in Wedy Pro. Once complete, you can send documents, trigger automation emails, and communicate with leads and clients — all from your connected address.

Why connect your email to Wedy Pro
Email integration is the bridge between your CRM and your clients. Without it, Wedy Pro cannot send documents on your behalf or track communication history inside your projects. Here is what you gain by connecting your email:
Send from your real address. Contracts, invoices, proposals, questionnaires, and automation emails are all sent from your connected email (e.g., [email protected]). Clients recognize and trust your business address — not a generic noreply.
Outgoing email tracking. Every email sent through Wedy Pro is logged in the relevant Project or Lead timeline, so you have a full communication history without leaving the platform.
Incoming email sync. Client replies and incoming emails are automatically imported into Wedy Pro and attached to the correct Project or Lead, giving you context on every conversation without switching between tabs.
Power your Automations. Automation workflows that include email actions — follow-up sequences, booking confirmations, payment reminders — require a connected email account to function. Without one, those actions cannot send.
Email templates and signatures. Once connected, you can use Wedy Pro's email templates and custom email signatures for consistent, branded outreach.
Supported email providers
Wedy Pro supports the vast majority of business email accounts used by event professionals:
Gmail — Personal Gmail and Google Workspace (formerly G Suite) accounts. This is the most common choice for wedding photographers, planners, and solo vendors.
Microsoft Outlook — Outlook.com, Microsoft 365, and Exchange accounts. A strong option for vendors using Microsoft's ecosystem or those with a custom domain through Microsoft 365.
Other providers — Yahoo, iCloud, AOL, and any provider that supports IMAP/SMTP. This includes GoDaddy-hosted email, custom domain email through cPanel or Plesk hosting panels, and other business email services that many event vendors use with their own domains. These providers may require app-specific passwords depending on their security settings.
If you are unsure which provider your email uses, check the domain after the @ symbol. Gmail addresses end in @gmail.com (or your custom domain if using Google Workspace). Outlook addresses end in @outlook.com, @hotmail.com, or your custom domain via Microsoft 365. If your custom domain email was set up through your web hosting provider (GoDaddy, Bluehost, Hostinger, etc.), it likely uses IMAP/SMTP.
How to connect your email account
To connect your email to Wedy Pro, navigate to the Integrations page and authorize the connection through a secure OAuth flow. You will not need to type your email password into Wedy Pro — the authorization happens directly with your email provider.
Click Account in the sidebar, then select Integrations from the submenu. You can also start the email connection directly from your Home dashboard by clicking the Sync Email button in the top-right area, which opens the authorization flow immediately.
In the Email section, click Connect Email.
A new window opens for authorization. Sign in with your email account (Gmail, Outlook, or another supported provider) when prompted.
Review the permissions Wedy Pro is requesting — read and send emails on your behalf — and click Allow or Grant Access to authorize the connection.
The authorization window closes and you are returned to the Integrations page. Your connected email address now appears with your provider icon, confirming the integration is active.
That is it. Your email is now connected and Wedy Pro can send and receive emails through your business address.
Connect Gmail (Google Workspace)
Gmail is the most popular email provider among event vendors. The connection uses Google's standard OAuth flow — the same secure authorization you use when signing into any Google-connected app.
On the Integrations page, click Connect Email.
The authorization window opens to Google's sign-in page.
Sign in with your Google account credentials. If you have multiple Google accounts, choose the one you use for client communication.
Google displays a consent screen listing the permissions Wedy Pro needs. Click Allow to grant access.
The window closes and your Gmail address appears on the Integrations page.
If you use Google Workspace with a custom domain (e.g., [email protected]), the process is identical. Custom domains are handled the same way as standard Gmail addresses.
Connect Outlook (Microsoft 365)
If your business email runs through Microsoft, the connection uses Microsoft's OAuth flow.
On the Integrations page, click Connect Email.
The authorization window opens to Microsoft's sign-in page.
Sign in with your Microsoft account. If your organization uses multi-factor authentication, complete the verification step as usual.
Review the requested permissions and click Accept.
Your Outlook email address now appears on the Integrations page.
This works for Outlook.com personal accounts, Microsoft 365 business accounts, and Exchange-based accounts with a custom domain.
Connect other email providers (iCloud, Yahoo, AOL, GoDaddy, custom domain)
For providers outside the Google and Microsoft ecosystems, the connection uses IMAP/SMTP. This includes iCloud, Yahoo, AOL, GoDaddy-hosted email, and any custom domain email managed through hosting panels like cPanel or Plesk. The process may require an app-specific password rather than your regular login password, depending on your provider's security configuration.
On the Integrations page, click Connect Email.
In the authorization window, enter your email address. Your provider will be detected automatically.
Enter your password — or an app-specific password if your provider requires one (iCloud and Yahoo typically do). For GoDaddy or cPanel-hosted email, use your regular email password. Check your email provider's security settings for instructions on generating an app-specific password if prompted.
The connection is validated and your email address appears on the Integrations page.
What syncs and what does not
Understanding exactly what flows between your email inbox and Wedy Pro prevents surprises and helps you use the integration confidently.
What syncs to Wedy Pro (Incoming):
Client replies to emails you sent through Wedy Pro appear in the relevant Project's Activity tab or the Lead's Communication tab.
New incoming emails from contacts associated with a Lead or Project are automatically linked to that record.
What syncs from Wedy Pro (Outgoing):
Document sends (contracts, invoices, proposals, questionnaires) are sent from your connected email address.
Manual emails composed within a Project or Lead are sent from your connected email address.
Automation-triggered emails are sent from your connected email address.
Copies of outgoing emails appear in your email provider's Sent folder, so you always have a record.
What does NOT sync:
Personal emails unrelated to Wedy Pro contacts are not pulled into the platform. Only emails associated with known Leads, Projects, or Contacts appear in Wedy Pro.
Spam, newsletters, and promotional emails from your inbox do not appear in Wedy Pro.
Draft emails in your inbox are not synced — only sent and received messages.
How to disconnect or change your email
If you need to switch to a different email address or disconnect the integration entirely:
Navigate to Account > Integrations in the sidebar.
In the Email section, click Disconnect next to your connected email address.
Confirm the disconnection when prompted.
To connect a different email address, click Connect Email again and follow the authorization flow with your new account.
Disconnecting your email does not delete any communication history already logged in Wedy Pro. Past emails in Project and Lead timelines remain visible. However, new outgoing emails and automation actions will not function until you reconnect an email account.
Troubleshooting common email connection issues
The authorization window does not appear.
Check your browser's pop-up blocker. The email authorization flow opens in a popup window. If your browser blocks it, you will not see the sign-in prompt. Allow popups for wedypro.ai and try again.
My iCloud or Yahoo email requires an app-specific password.
Apple and Yahoo require app-specific passwords for third-party email integrations. Generate one in your email provider's security settings (Apple: appleid.apple.com > App-Specific Passwords; Yahoo: Account Security > Generate App Password) and use that password when prompted during the connection flow.
My email disconnected unexpectedly.
This can happen if you change your email password, revoke Wedy Pro's access in your email provider's connected apps settings, or if your authorization token expires. Return to Account > Integrations, click Connect Email, and re-authorize the connection.
Emails are not appearing in my Project or Lead timeline.
Wedy Pro matches incoming emails to Leads and Projects based on the contact's email address. If the email address on the incoming message does not match any contact in your CRM, the email will not be linked automatically. Verify that the client's email address in the Lead or Project matches the address they are writing from.
Frequently asked questions
Does Wedy Pro store my email password?
No. Wedy Pro uses OAuth authorization, which means your email provider handles authentication directly. Wedy never sees, stores, or has access to your email password. You can revoke access at any time from your email provider's security settings.
Can I connect more than one email account?
Wedy Pro supports one connected email account per vendor account. All team members on the Elite plan share the same connected email for outgoing communication. The account owner connects the email from Account > Integrations, and all team members use that connection for sending documents and automation emails.
Will clients see "sent via Wedy" in my emails?
No. Emails sent through Wedy Pro appear to come directly from your connected email address. There is no "sent via" branding or footer appended by the platform. The experience is indistinguishable from sending the email directly through Gmail or Outlook.
Can I use a shared or team email address like [email protected]?
Yes, as long as the email account supports OAuth or IMAP login. Shared inboxes work well for businesses where multiple team members need to send from the same address. Each Wedy Pro user account connects to one email, so if your team uses a shared address, the account owner typically connects it.
What happens if I skip email setup?
You can use Wedy Pro without connecting your email, but several features will not function: document sending (contracts, invoices, proposals), automation email actions, and lead/project communication. Connecting your email is strongly recommended as one of your first setup steps.
