Connect QuickBooks to Sync Your Finances

Connecting QuickBooks to Wedy Pro lets your invoices and payments sync automatically — eliminating the manual data entry that eats into your time between events. Once connected, every payment you collect through Wedy Pro flows directly into your QuickBooks account, keeping your books current without any extra work on your end.

What the QuickBooks integration does

When QuickBooks is connected to Wedy Pro, your financial data stays in sync between both platforms. Here is what the integration provides:

  • Automatic invoice sync — Invoices created and sent through Wedy Pro are mirrored in your QuickBooks account.

  • Payment sync — When a client pays through Wedy Pro, that payment is recorded in QuickBooks automatically.

  • Auto-sync payments toggle — Control whether payments sync automatically or manually from your Integrations settings.

  • Sync status at a glance — The integration card shows when data was last synced and surfaces any sync errors so you can address them quickly.


How to connect QuickBooks

  1. In Wedy Pro, click Account in the sidebar to open your account settings.

  2. Click Integrations in the Account sidebar.

  3. Locate the QuickBooks card. It will show Not Connected until you authorize it.

  4. Click Connect. You are redirected to a secure QuickBooks authorization page.

  5. Sign in to your QuickBooks account and authorize Wedy Pro to access your data.

  6. After authorizing, you are redirected back to Wedy Pro. The QuickBooks card now shows Connected along with your QuickBooks company name.

How to configure auto-sync payments

After connecting, the QuickBooks card displays an Auto-sync payments toggle. This controls whether payments collected in Wedy Pro are pushed to QuickBooks automatically.

  1. On the Integrations page, find the QuickBooks card (it should show Connected).

  2. Toggle Auto-sync payments on to enable automatic syncing. Toggle it off if you prefer to manage sync manually.


The card also displays a Last synced timestamp so you always know when data was last pushed. If a sync error occurs, the card will show the error message so you can investigate.


How to disconnect QuickBooks

If you need to unlink your QuickBooks account — for example, when switching to a different QuickBooks company or troubleshooting a sync issue — you can disconnect at any time.

  1. Go to Account > Integrations.

  2. On the QuickBooks card, click Disconnect.

  3. Confirm the action in the dialog that appears.


Disconnecting stops all future syncing. Data already synced to QuickBooks is not affected.


Tips

  • Make sure you are signed into the correct QuickBooks company before clicking Connect — the integration links to whichever company is active in your QuickBooks session.

  • If the QuickBooks card shows a sync error after connecting, check that your QuickBooks account has the necessary permissions to accept data from third-party apps, then click Disconnect and reconnect to refresh the authorization.

  • The Last synced timestamp updates each time a successful sync runs. If it has not updated in a while and auto-sync is on, review the error message on the card for guidance.


Frequently asked questions

Where do I find the QuickBooks connection in Wedy Pro?


Go to Account in the sidebar, then click Integrations. The QuickBooks card is displayed alongside the Email, Calendar, and Zoom integration cards.


Does connecting QuickBooks affect my existing QuickBooks data?


No. Connecting Wedy Pro to QuickBooks only pushes new invoice and payment data going forward. Your existing QuickBooks records are not modified.


Can team members connect their own QuickBooks account?


The QuickBooks integration is account-level and connects to your business's QuickBooks company. Access to the Integrations page is controlled by your team permissions. If you do not see the Integrations section, check with your account owner to ensure you have the necessary access.


What happens if I disconnect and reconnect QuickBooks?


Disconnecting stops syncing. When you reconnect, syncing resumes going forward. Data that was already synced remains in QuickBooks — reconnecting does not duplicate it.


Is my QuickBooks data secure?


Yes. The connection uses a secure OAuth authorization flow — Wedy Pro never stores your QuickBooks password. You can revoke access at any time by disconnecting from the Integrations page or from within your QuickBooks account settings.
