Why document branding matters

Every proposal, invoice, contract, and questionnaire you send is a touchpoint with your client. A document that carries your brand colors, fonts, and visual identity reinforces professionalism and trust — especially for event vendors where presentation is part of the service.


Wedy Pro's Smart Document editor includes a built-in Themes panel that lets you control the visual appearance of every document you create. Changes apply in real-time, so you can see exactly how your document looks before it reaches your client.

How to apply branding to a document

Every Smart Document — proposal, invoice, contract, or questionnaire — shares the same editor and the same Themes panel. Here's how to style any document:

  1. Open any document for editing. Navigate to Documents in the sidebar, select your document type (e.g., Contracts), and click on a draft document to open it in the editor. For sent documents, click Edit Draft in the top-right corner.

  2. Open the right panel by clicking the settings icon on the right edge of the screen, or look for the panel that's already open on desktop.

  3. Click the Themes tab at the top of the right panel.

  4. Apply your company theme or customize colors and fonts as described below.

  5. Your changes are saved automatically — look for the All changes saved indicator in the header.


Apply your company theme

The quickest way to brand a document is to apply your company theme. When you enable the company theme override in the Themes tab, Wedy Pro pulls in the brand settings from your profile — colors and visual identity you've already configured — and applies them to the document instantly.


This is ideal if you want all your documents to match your marketplace profile and other branded materials without manually setting colors for every document.


Customize colors for a specific document

You can also set custom colors on a per-document basis directly in the Themes tab. The following color options are available:

  • Page color — The background color of each document page.

  • Text — The primary text color used throughout the document.

  • Highlight — The accent color used for headings, dividers, and emphasis elements.

  • Input fill — The background color of fillable fields (signature blocks, questionnaire inputs, payment fields).

  • Input border — The border color around fillable fields.


Click any color swatch to open the color picker and enter a hex code or choose from the picker. Your canvas updates live so you can evaluate the result before the document is sent.


Choose a font

The Themes tab also includes a font selector. Choose a typeface that aligns with your brand identity — the selected font applies across all text elements in the document. A clean, consistent font elevates the perceived quality of your proposals and contracts.


Preview your branded document

After applying your theme and colors, click Preview in the top-right corner of the editor. The preview shows exactly how the document renders for your client — styled, paginated, and ready to review. Use the page navigation to move through multi-page documents. Click Exit Preview to return to the editor and make any final adjustments.


Branding applies to all document types

The same Themes panel is available in every Smart Document you create in Wedy Pro — proposals, invoices, contracts, and questionnaires all use the same editor and the same branding controls. Once you find a color and font combination you like, consider saving the document as a template so future documents inherit the same look automatically.


To save a branded document as a template, open the right panel, click the Documents tab, and use the Save as Template option. Your template will appear in Templates > Documents whenever you create a new document.

Tips

  • Use your brand's exact hex color codes for consistency across all documents and your marketplace profile.

  • Dark backgrounds can look striking in proposals — test in preview mode before sending to ensure text remains readable.

  • If you use AI to help draft document content, style it afterward in the Themes tab to ensure the finished result reflects your brand, not a generic default.

  • Saving a branded document as a template means you only configure colors and fonts once — every new document from that template starts pre-styled.


Frequently asked questions

Does my branding apply to what the client sees when they open the document?


Yes. The colors, fonts, and theme you set in the editor are applied to the client-facing document view. When your client opens the link and signs or pays, they see your fully branded document.


Can I use different branding for different document types?


Yes. Each document has its own theme settings. You can use a bolder color scheme for proposals and a cleaner, more minimal look for invoices. Save each style as a separate template to reuse it.


What is the difference between company theme and custom colors?


The company theme applies your globally configured brand settings in one click — a fast way to stay consistent. Custom colors let you override specific elements for that individual document. You can use the company theme as a base and then adjust individual colors as needed.


Do branding changes affect documents I've already sent?


Editing a sent document creates a draft layer that clients don't see until you send the update. Apply your branding changes, then use the Send Without Notifying option to publish the visual update silently if no content has changed — or Notify Changes to send an update email.


Can team members apply branding to documents?


Team members with access to Smart Documents can open the editor and apply theme settings. Members with the member role can only access documents for projects they are assigned to. If a team member cannot access a document, the Owner should verify their project assignment and permissions under Account > Team.
