Customize Your Scheduler Theme and Branding

Learn how to customize your Wedy Pro scheduler's theme, colors, fonts, and branding so your booking page matches your business identity.

Updated over 2 months ago

Overview

Your scheduler is often the first touchpoint a prospective client has with your business. Wedy Pro gives you full control over the visual appearance of your booking page — from fonts and colors to button styles and input fields — so that every interaction reflects your brand. Whether clients book through an embedded widget on your website or a direct booking link, the theme you set ensures a polished, professional experience.

Unlike other scheduling tools that only let you change a single brand color, Wedy Pro offers a dedicated theme editor with granular control over heading fonts, paragraph fonts, page colors, form colors, highlight colors, button styling, input field styling, and more.

Time to complete: 5–10 minutes.

Before you begin

  • You need at least one scheduler created in Wedy Pro. If you have not set one up yet, follow Create a Scheduler first.

  • Your calendar must be connected — this is a prerequisite for all scheduler features.

  • The theme editor is accessible for any scheduler regardless of its active or inactive status. However, only active schedulers display the theme to clients. If your scheduler is turned off, turn it on first from the three-dot menu by selecting Turn On.

How scheduler branding works in Wedy Pro

Every scheduler in Wedy Pro has its own theme that controls how the booking page looks to your clients. The theme editor uses a two-panel layout: a live preview on the left shows exactly what clients will see, and settings controls on the right let you adjust every visual detail in real time.

The scheduler theme editor uses the same controls as the lead form theme editor, so if you have already customized a lead form theme, you will find the settings familiar and identical.

Wedy Pro supports two theme modes:

  • Company theme — Your scheduler automatically inherits your company's brand colors and visual identity. This is the default, and it keeps all your schedulers visually consistent with your overall Wedy Pro branding. To set up or update your brand colors and visual identity, visit your Profile settings.

  • Custom theme — Override the company theme for a specific scheduler. Useful when a wedding photographer, for example, wants a softer palette for portrait session bookings and a bolder look for event coverage consultations.

How to open the theme editor

  1. Navigate to Schedulers in the sidebar (under the CRM section).

  2. Find the scheduler you want to customize.

  3. Click the three-dot menu () on the scheduler card.

  4. Select Edit Theme.

  5. The theme editor page opens with the header title Edit Theme and your scheduler's name displayed below it.

Configure display options

At the top of the settings panel, you will find Display Options that control the structural elements of your booking page:

  • Show Header — Toggles the vendor name and avatar header at the top of the booking page. Enabled by default. Turn this off if you are embedding the scheduler on a page that already displays your name and logo.

  • Show Footer — Toggles the branding footer at the bottom. Enabled by default.

Customize your theme settings

The Theme Settings section gives you granular control over every visual element on your booking page. Here is what you can customize:

Fonts

  • Heading font — The typeface used for titles and section headers on the booking page.

  • Paragraph font — The typeface used for body text, labels, and descriptions.

Colors

  • Page color — The background color of the entire booking page.

  • Form color — The background color of the booking form area.

  • Text color — The primary text color used throughout the page.

  • Highlight color — The accent color used for selected dates, active states, and interactive elements.

  • Warning color — The color used for validation messages and alerts.

Buttons

  • Button font — The typeface for button labels.

  • Button color — The fill color of primary action buttons (such as the booking confirmation button).

  • Button size — Controls the overall button dimensions.

  • Button radius — Adjusts the corner rounding on buttons, from sharp corners to fully rounded.

Input fields

  • Input fill — The background color inside text fields and dropdowns.

  • Input border — The border color around input fields.

  • Input radius — The corner rounding on input fields.

Additional styling

  • Question text styling — Controls the appearance of custom booking question labels.

Preview your scheduler theme

The live preview on the left side of the theme editor updates in real time as you adjust settings. You can preview three different views that your clients will see during the booking flow:

  1. Click Calendar at the top of the preview to see the date and time selection view.

  2. Click Form to see the booking form where clients enter their name, email, and answer any custom questions.

  3. Click Confirmation to see the success screen shown after a booking is completed.

To see an expanded view, click Preview in the header to open a full-screen preview of your scheduler.

Reset to your company theme

If you have made custom changes and want to return to your company's default branding, click the Reset button in the header. This reverts all theme settings to your company theme defaults.

Save your theme

  1. After making your adjustments, click Save Theme in the header.

  2. If you have unsaved changes, an Unsaved changes indicator appears to remind you to save before leaving the page.

Your theme changes apply immediately to both the direct booking link and any embedded widgets on external websites.

How branding appears on embedded widgets vs direct links

Your scheduler theme carries over to both sharing methods:

  • Direct booking link — Clients who visit your booking URL (e.g., wedypro.ai/appointments/your-scheduler) see the full themed experience, including the header with your name and avatar (if enabled).

  • Embedded widget — The widget on your website inherits the same theme. You can also control the base theme mode (light or dark) via the data-wedy-theme attribute in the embed code. The embedded widget uses Shadow DOM isolation, so your theme styles will not conflict with your website's existing CSS.

Additionally, when embedding on your website, you can pass custom overrides directly in the embed code using data attributes:

  • data-wedy-theme — Set to light or dark.

  • data-wedy-primary-color — Override the primary accent color.

  • data-wedy-font-body — Override the body font.

  • data-wedy-font-heading — Override the heading font.

  • data-wedy-font-url — Load a custom font stylesheet (e.g., from a font provider).

For full embed instructions, see Embed a Scheduler on Your Website.

Tips for a professional scheduler appearance

  • Use darker highlight colors for better readability on the calendar date selection view — light pastels can be difficult to see on a white background.

  • Match your heading font to the font on your website for a seamless embedded experience.

  • If you run multiple schedulers for different services (for example, a florist offering both consultation calls and design preview sessions), consider using the same company theme for consistency, and use the scheduler name and custom questions to differentiate.

  • Always preview all three views — Calendar, Form, and Confirmation — before saving to ensure your theme looks polished at every step.

  • Hide the header if your website already shows your business name prominently above the embedded scheduler.

Frequently asked questions

Can I have different themes for different schedulers?

Yes. Each scheduler in Wedy Pro has its own independent theme. You can customize one while keeping others on your company theme, or give each a unique look.

What is the difference between company theme and custom theme?

The company theme pulls from your overall Wedy Pro brand settings (colors, fonts). A custom theme lets you override those defaults for a specific scheduler. Use the Reset button in the theme editor to return any scheduler to your company theme at any time.

Do theme changes apply immediately?

Yes. Once you click Save Theme, the changes are live on both your direct booking link and any embedded widgets. Clients visiting your scheduler will see the updated design right away.

Will my theme carry over when I duplicate a scheduler?

Yes. When you duplicate a scheduler, the theme and display options from the original are copied to the new scheduler. You can then modify the duplicate's theme independently.

Can I theme an inactive scheduler?

Yes. You can open the theme editor and customize the design for any scheduler, whether it is active or inactive. The theme is saved and will be visible to clients once you activate the scheduler by selecting Turn On from the three-dot menu.
