About Marketplace Bookings
Bookings in Wedy Pro represent client booking requests that arrive from the Wedy App marketplace (wedyapp.com). When a prospective client discovers your profile, browses your packages, and submits a request, it appears automatically in your Bookings list — no manual entry required on your part.
This is fundamentally different from other CRM tools where vendors chase leads. On Wedy, clients come to you. Each booking is tied to a specific package you have published, meaning clients have already reviewed your pricing and service details before reaching out. Every inquiry arrives pre-qualified.
Vendors can also create bookings manually for clients who found them outside the marketplace — but the primary source of bookings is your Wedy App listing.
How Bookings Are Created
For a booking to arrive from the marketplace, your Wedy Pro setup must be complete:
Complete your vendor profile during onboarding.
Create at least one published package that clients can browse.
Enable your payment account so you can accept bookings.
Apply for and receive Vendor Collective verification — Wedy hand-selects vendors through a vetting process. Once approved, your profile goes live on the Wedy App marketplace.
Once live, clients discover your profile, review your packages, and submit a booking request. That request instantly creates an Inquiry booking in your Bookings page under the Marketplace section of your sidebar.
To create a booking manually for a client outside the marketplace, click Create Booking in the top-right corner of the Bookings page and follow the three-step wizard: select a package, choose or create a client, and fill in event details.
The Booking Status Pipeline
Every booking progresses through a defined lifecycle that reflects real actions taken by you and your client:
Inquiry — A client has submitted a booking request from the marketplace. Review their details and choose to Accept or Decline.
Signature — You have accepted the booking and signed the contract. The client is now prompted to make their payment.
In Progress — The first payment installment has been received. The engagement is active and underway.
Completed — You have marked the booking complete after both payment installments are received and the event has concluded.
Declined — You declined the booking request. The client is notified.
Drafts — A booking you started manually and saved without submitting.
The Active tab is a composite view that shows all bookings in the Signature, Inquiry, and In Progress stages at once — a quick way to see everything that needs your attention.
Navigating the Bookings Page
To view your bookings, click Bookings in the sidebar under the Marketplace section. The page displays a table with four columns: Client Name, Package (with event date), Status, and Payout (your earnings after the service fee).
Use the status tabs across the top to filter your view:
All — Every booking regardless of status.
Active — Inquiry, Signature, and In Progress combined.
Inquiry — Requests awaiting your Accept or Decline.
Signature — Accepted bookings awaiting client payment.
In Progress — Active engagements with first payment received.
Completed — Finished bookings.
Declined — Requests you declined.
Drafts — Unsent manual bookings saved as drafts.
To sort your list, use the sort dropdown at the top-right of the table. Choose between Sort By Wedding Date or Sort By Booking Date, each with Oldest to Newest or Newest to Oldest order.
To message a client without opening the full booking, hover over any row — the status badge fades and a Message Client button appears in its place. Click it to go directly to that client's conversation in Messages.
Inside a Booking: What You Can See and Do
Click any row in the Bookings list to open the Booking Details page. The header displays the client name, their status badge, and your payout total. Three tabs give you the full picture:
Invoice — Client info, event details, deliverables, add-ons, and cost breakdown. You can edit the client info, event details, and add-ons while the booking is in Inquiry, Drafts, or Signature status. You can also apply or remove a discount from this tab.
Payout Info — Your earnings breakdown: Base Price, Extra Hours, Add Ons, Service Fee (deducted), Discount, and Total (USD). Manage any additional receipts or costs here.
Contract — The signed contract for the booking.
The sidebar (on desktop) also shows a Total Earnings breakdown and a Message Client button for quick access to your conversation. Action buttons at the bottom of the page change based on the booking's current status — for example, Accept and Decline appear on an Inquiry, and Complete this project appears once both payments are received on an In Progress booking.
Accepting and Declining Bookings
When a new Inquiry arrives, open the booking and review the client's information, the package they selected, the event date, and any add-ons they requested. Before accepting or declining, use the Message Client button to ask questions or clarify details with the client.
Bookings saved as Drafts also show Accept and Decline — you can submit or discard a draft booking the same way.
To accept: click Accept. If your payment account is not yet set up, a setup prompt will appear — you must complete payment account configuration before accepting bookings. Once your payment account is ready, a signature modal opens. Draw or type your signature to confirm, and the booking moves to Signature status. The client is then notified and can proceed with their payment.
To decline: click Decline. A confirmation dialog will appear. Click Yes, Decline to confirm. The booking moves to Declined status.
Smart Documents Linked to a Booking
Contracts, proposals, and invoices can be created and sent directly from within a booking — keeping all client-facing documents tied to the same engagement. Once a document is sent, you can track whether your client has viewed, signed, or paid through the document's response page. For a full walkthrough of creating and sending documents, see Understanding Smart Documents in Wedy Pro.
Completing a Booking
Once a booking is in In Progress status and both payment installments have been received, a Complete this project button appears. Click it, then confirm by clicking Yes, Complete in the dialog. The booking moves to Completed status.
Bookings and Your Packages
Every marketplace booking is tied to a specific package you have published. When a client books, their request shows exactly which package they selected along with any add-ons they chose. This means you always know what the client expects before the conversation begins — pricing is transparent and agreed upon from the start.
The Payout Info tab in each booking shows how your earnings are calculated: Base Price, plus any Extra Hours or Add Ons, minus the Wedy service fee. This is the amount that will be paid out to your connected payment account.
Bookings vs. Projects
Bookings and Projects serve different purposes and live in different sections of your sidebar. Bookings (under Marketplace) are client-initiated requests tied to your marketplace packages — they track the engagement lifecycle from inquiry through payment. Projects (under CRM) are where you manage the full client relationship: tasks, documents, notes, financials, and communication history.
Both are powerful tools. Bookings give you a structured pipeline for your marketplace activity. Projects give you the depth to manage every detail of an event engagement. See Bookings vs. Projects: What's the Difference? for a full comparison.
Frequently asked questions
Do I need to do anything to receive booking inquiries?
Yes — your profile must be live on the Wedy App marketplace. This requires completing your vendor profile, publishing at least one package, setting up your payment account, and receiving Vendor Collective verification from the Wedy team. Once all steps are complete, booking inquiries will arrive automatically.
Can I edit a booking after accepting it?
Yes, with some limits. Client info, event details, add-ons, and discounts can be edited when the booking is in Inquiry, Drafts, or Signature status. Once a booking reaches In Progress, the invoice is locked.
What is the Wedy service fee?
A service fee is deducted from your package price. Your net payout — shown as the Total in the Payout Info tab — is what you receive after this deduction. The exact fee percentage is visible in the Payout Info breakdown for each booking.
Can I create a booking for a client who found me outside the marketplace?
Yes. Click Create Booking on the Bookings page and follow the three-step wizard: choose or create a package, select or create the client, and fill in the event details. You will sign the contract at the end to finalize the booking.
What happens if I do not respond to an inquiry?
Inquiries remain in your Bookings list until you accept or decline them. It is important to respond promptly — clients who do not hear back may move on to other vendors. Use the Active tab to see all pending inquiries at a glance.
