Understanding Your Calendar in Wedy Pro

A complete guide to the Wedy Pro Calendar — event types, views, filters, creating meetings, and connecting your external calendar.

About the Calendar in Wedy Pro

The Calendar is your unified command center for every time-sensitive aspect of your event business. In a single view, you see your confirmed client bookings, upcoming project events, meetings you have scheduled, appointments clients have booked through your embedded schedulers, and events synced from your personal or business calendar — all on one grid.


Unlike a standard calendar app, Wedy Pro's Calendar is context-aware: each event links directly back to the lead, project, or scheduler booking it came from, so you can jump from a calendar event straight into the CRM record in one click.


To open the Calendar, click Calendar in the left sidebar.


If your business offers all-inclusive packages, you may also have access to the Pricing Calendar — a specialized view with an AI-powered sidebar for pricing guidance. This view is available to qualifying vendors only.

What Appears on Your Calendar

Wedy Pro displays four distinct categories of events on the Calendar, each from a different part of your business. Use the Calendars panel in the left sidebar to show or hide each type.

  • Booked Projects — Confirmed client bookings from your CRM pipeline that have an event date set. These are always visible and cannot be hidden — they represent real contracted work on your calendar.

  • Tentative Projects — CRM projects that are in a tentative or pending status with event dates assigned. Visible by default; toggle off to declutter when focusing on confirmed commitments only.

  • Meetings — Meetings you have created directly inside Wedy Pro (consultations, calls, in-person appointments). These sync with your connected external calendar when a calendar connection is active.

  • Scheduler Bookings — Appointments that clients have booked through your embedded schedulers. These appear automatically on the calendar as clients schedule themselves — no manual entry required. Each active scheduler you have created appears as its own toggle so you can show or hide specific schedulers.

  • External Calendar Events — Events synced from your connected Google or Outlook calendar. These appear as a separate section in the sidebar filter panel, organized by your calendar account.


The Booked Projects filter is always enabled and cannot be turned off — your confirmed client events are always visible.


When schedulers are connected, a Go to Schedulers → link appears at the bottom of the Schedulers section for quick access.

Calendar Views: Month, Week, Day, and Year

Switch between four calendar display modes using the view selector in the top-right corner of the calendar header. Click TODAY at any time to return to the current date. Use the left and right chevron arrows to navigate forward or backward by the current period.

  • Month — The default view. See your full schedule at a glance. Best for spotting heavy booking months and planning capacity.

  • Week — A time-blocked view of the current week. Best for managing a specific week with precise start and end times visible for each event.

  • Day — Granular hourly breakdown of a single day. Use this on your busiest days to track back-to-back meetings and appointments.

  • Year — A high-level annual overview showing which months have events. Use this to spot booking density across the full year.


Your current timezone is displayed in the header next to a globe icon. To change your timezone, click Calendar Settings at the bottom of the sidebar and use the Change button in the Timezone Preference section, which links to Account > Preferences.


Creating a Meeting from the Calendar

You can create a new meeting directly from the calendar without leaving the page. Meetings you create here sync with your connected external calendar, so there is no double-entry needed.

  1. Click the Create button in the calendar left sidebar.

  2. Select Create Meeting from the dropdown.

  3. Enter a Meeting Title (required, 2–100 characters).

  4. Set the date and time. Toggle All day for a full-day event, or set Start and End times in 15-minute increments.

  5. Select a Meeting Type from the dropdown:

    • Personal — A private event with no client association.

    • In-person — Enter a Location using the address autocomplete.

    • Phone call — Enter a Phone Number for the call.

    • Video call — Select a Video Platform: Google Meet (auto-generates a link), Zoom (auto-generates a link if Zoom is connected), or Other (enter a custom Meeting URL).

    • Other — For any other meeting type.

  6. Optionally add a Description for notes or agenda details.

  7. Optionally set Associate with to link the meeting to a specific Project or Lead. Search by name or email to find the record.

  8. Elite plan users may have access to additional team collaboration features — see your Calendar and Account settings for what is available to your plan.

  9. Click Create Meeting if there is no association. If linked to a project or lead, click Send With Notification to notify the client, or Send Without Notifying to add it silently.


Meetings linked to a lead appear in that lead's Meetings tab in the CRM. Meetings linked to a project appear in the project's activity timeline. This keeps all client communications in one place.


Viewing and Managing Events on the Calendar

Click any event on the calendar to open a detail popover. What you see depends on the event type:

  • Booked or Tentative Project — Shows the event title, date, client name and email, project status, guest count (if set), and your payout amount. Click Go to Project to open the full project detail, or Message to jump into the client conversation.

  • Meeting — Shows the meeting title, type badge (Video Call / Phone Call / In-Person / Personal Meeting), date and time, associated lead email (if any), location or conference join link, description, and participant list. Click Edit to modify the meeting or Delete to remove it (confirm on second click). You can also toggle the event between Busy and Free status.

  • Scheduler Booking — Shows the booking title, scheduler name, meeting type (Video Conference / Phone Call / In-Person Meeting), conference details with a Join meeting → link for video appointments, location for in-person, and any booking notes. Use the Reschedule or Cancel buttons to manage the appointment.

  • External Calendar Event — Shows the event title, date and time, location (if any), and a View on Google or View on Outlook link to open the event in your external calendar. You can toggle the Busy/Free status on events from your primary connected calendar. Events from secondary synced calendars are read-only.


How Scheduler Bookings Flow Into Your Calendar

When a client books an appointment through one of your embedded schedulers, Wedy Pro automatically creates a calendar event — no manual input required from you. The booking appears on your calendar tagged with the scheduler's name, and it is also reflected in your connected external calendar so your availability stays accurate across all platforms.


This is one of Wedy Pro's most powerful differentiators: your embedded scheduler widget can live on your own website (WordPress, Wix, Squarespace, or any HTML site), and every booking flows directly into your calendar and CRM without any extra steps. Schedulers require an active calendar connection to detect conflicts and block off booked times. Without a connected calendar, your scheduler cannot check availability accurately.


Connecting Your External Calendar

Connect your Google or Outlook calendar to enable two-way sync between Wedy Pro and your personal or business calendar. Once connected:

  • Events from your external calendar appear in Wedy Pro so you can see all commitments in one view.

  • Meetings you create in Wedy Pro appear in your external calendar automatically.

  • Your Schedulers can accurately detect busy times and prevent double-booking.


To connect a calendar or check your connection status, click Calendar Settings at the bottom of the sidebar. Under Connected Calendar, click Connect to link a new account, or Manage to review or update your connection in Account > Integrations.


If no calendar is connected, a banner appears at the top of the calendar reading Connect your calendar for two-way sync with external events. Click Connect in the banner to go directly to integrations.

Calendar Settings

The Calendar Settings button at the bottom of the left sidebar opens a settings modal with three sections:

  • Connected Calendar — Shows your connected calendar account email and a Manage link to Account > Integrations. If no calendar is connected, a Connect button is shown instead.

  • Select calendars you'd like to import into Wedy — When a calendar account is connected, choose which individual calendars to sync. Your primary calendar is always included. Select any additional shared or secondary calendars, then click Done to save.

  • Timezone Preference — Displays your currently configured timezone. Click Change to update it in Account > Preferences.


Frequently asked questions

Can I create a project directly from the Calendar?


Yes. Click the Create button in the calendar sidebar and select Create Project. You are taken to the project creation flow to set up the new project.


Why don't I see my Scheduler bookings on the calendar?


Make sure the scheduler is active and that you have a calendar account connected in Account > Integrations. In the Calendars sidebar panel, check that the relevant scheduler's toggle is enabled under the Schedulers section. If the scheduler was recently created, allow a moment for new bookings to appear.


Can I edit an event that came from my external calendar?


External calendar events are read-only in Wedy Pro — edit or delete them from your external calendar. You can toggle the Busy/Free status on events from your primary connected calendar directly in Wedy Pro. Events from secondary synced calendars are fully read-only.


What is the difference between a Booked Project and a Tentative Project on the calendar?


A Booked Project is a confirmed client engagement — the booking is locked in. A Tentative Project is one still in a pending or tentative stage that has an event date set but is not yet fully confirmed. Both appear on the calendar so you can see your full schedule, including commitments still being finalized.


Does my timezone affect how events are displayed?


Yes. Events are displayed according to the timezone configured in your account preferences. Your current timezone is shown in the calendar header next to the globe icon. To change it, click Calendar Settings in the sidebar, then click Change in the Timezone Preference section.
