Create and Manage Meetings in Wedy Pro

Step-by-step guide to creating, linking, editing, and deleting meetings in Wedy Pro — including video calls, in-person, and phone meetings.

Overview

Meetings in Wedy Pro are calendar events you create directly from your calendar — consultations, walkthroughs, discovery calls, or any appointment with a client. Unlike Scheduler bookings (which clients book themselves through your embedded scheduler widget), meetings are created by you and can be linked to a specific Lead or Project in your CRM.


Every meeting you create syncs to your connected external calendar, keeping your entire schedule in one place. If you send a meeting with a notification, your client receives a message through the platform as well.

How to Create a Meeting

  1. Navigate to Calendar in the sidebar.

  2. In the left sidebar, click the Create button.

  3. Select Create Meeting from the dropdown.

  4. In the Create Meeting modal, enter a Meeting Title (required, 2–100 characters).

  5. Set the date and time:

    • Toggle All day for an all-day event, or set a Start and End date/time (in 15-minute increments).

  6. Choose a Meeting Type from the dropdown:

    • Personal — a private reminder or blocked slot, no client association.

    • In-person — enter a Location (address autocomplete supported).

    • Phone call — enter a Phone Number.

    • Video call — choose a Video Platform: Google Meet (auto-generates a join link), Zoom (auto-generates a link if Zoom is connected), or Other (enter a custom Meeting URL).

    • Other — for any meeting type not covered above.

  7. Optionally, add a Description for notes or context about the meeting.

  8. Optionally, set Associate with to link the meeting to a Lead or Project (see below).

  9. Click Create Meeting — or if you associated the meeting with a Lead or Project, choose either Send With Notification (to alert the client) or Send Without Notifying.


How to Link a Meeting to a Lead or Project

Associating a meeting with a Lead or Project connects it to your CRM context. The meeting then appears in the Lead's detail page under its meetings section, or within the linked Project — giving you and your team a full timeline of every client touchpoint.

  1. In the Create Meeting modal, find the Associate with section.

  2. Select Lead or Project from the dropdown, then search by name or email to find the right record.

  3. Choose Send With Notification to alert the client, or Send Without Notifying to save the meeting without sending a notification.


Meetings with No association still appear on your calendar and sync to your connected external calendar — they just aren't linked to a CRM record.


Video Conferencing Options

For video call meetings, Wedy Pro supports three options under Video Platform:

  • Google Meet — a join link is generated automatically when the meeting is created. No additional setup required beyond having your calendar connected.

  • Zoom — a join link is generated automatically if your Zoom account is connected under Account > Integrations. Connect Zoom first, then return to create the meeting.

  • Other — paste any custom conference URL (Teams, FaceTime, any platform).


Your clients can access the join link directly from the meeting notification they receive.


How to Edit a Meeting

You can update any meeting you've created — title, time, type, location, or description — directly from the calendar.

  1. Navigate to Calendar and click the meeting event on the calendar grid.

  2. A popover opens showing the meeting details: meeting type badge, date and time, description, and participants.

  3. Click the Edit button in the popover.

  4. The Edit Meeting modal opens. Update any fields as needed.

  5. Save your changes.


You can also toggle the Busy / Free status directly in the popover by clicking the pencil icon next to the status — useful for marking a meeting as free time so it doesn't block your availability.


How to Delete a Meeting

  1. Click the meeting event on the calendar.

  2. In the popover, click the Delete button.

  3. A Confirm? prompt appears — click Delete again to confirm.


Deleted meetings are removed from your Wedy Pro calendar and will no longer sync to your connected external calendar.


Viewing Meetings in Lead and Project Detail Pages

When a meeting is linked to a Lead, it appears in the Lead's detail page under the meetings section — giving you a complete view of every interaction with that prospective client. When linked to a Project, the meeting is visible within the project's activity and timeline.


You can also create a meeting directly from a project by using the Schedule Meeting action in the project header — a quick shortcut when you're already inside a project.


Meetings vs. Scheduler Bookings

Wedy Pro has two types of calendar appointments:

  • Meetings (created by you) — created manually from the calendar using the steps above. Ideal for consultations you schedule proactively or one-off calls.

  • Scheduler bookings (created by clients) — when a client books a time through your embedded Scheduler widget on your website, a booking event is automatically added to your calendar. These appear in a distinct color (purple) and show the scheduler name in the event popover. You can reschedule or cancel these from the popover as well.


Both types appear on your calendar and sync to your connected external calendar. You can filter each type using the Calendars panel in the left sidebar — toggle Meetings under the CRM section, or toggle individual schedulers under the Schedulers section.

Tips

  • Always link meetings to the relevant Lead or Project so every client touchpoint is tracked in your CRM — saves time when reviewing a project history.

  • Use the Description field to jot down talking points or prep notes before the meeting. They're visible when you click the event on the calendar.

  • For video calls, choose Google Meet or Zoom to have the join link generated automatically — no copy-pasting from a separate app.

  • Connect your external calendar under Account > Integrations to ensure meetings created in Wedy Pro appear in your personal calendar app and vice versa.

  • Use the Busy / Free toggle on meetings to control whether that time blocks your availability in your Schedulers.


Frequently asked questions

Can I create a meeting without linking it to a Lead or Project?


Yes. Select No association in the Associate with section (or leave it unset). The meeting still appears on your calendar and syncs to your connected external calendar — it just won't be tied to a CRM record.


Will my client receive an email about the meeting?


Only if you click Send With Notification. If you choose Send Without Notifying, or if the meeting has no client association, no notification is sent. Notifications are sent through your connected email account so they arrive from your real business email address.


What meeting types does Wedy Pro support?


Five types: Personal, In-person, Phone call, Video call, and Other. Each type unlocks the relevant fields (location, phone number, or video platform) in the creation form.


Do meetings sync to my external calendar?


Yes — if you have an external calendar connected under Account > Integrations, meetings you create in Wedy Pro sync automatically. If no calendar is connected, meetings remain in Wedy Pro only. See Sync Your Google or Outlook Calendar with Wedy Pro to set this up.


Can I schedule meetings directly from a Lead or Project?


Yes. From any Project, use the Schedule Meeting action in the project header to open the meeting creation form pre-linked to that project. For Leads, open the lead detail page and create a meeting from there — it will automatically associate with that lead.


What's the difference between a manual meeting and a Scheduler booking?


Manual meetings are created by you from the Calendar. Scheduler bookings are created automatically when a client picks a time from your embedded Scheduler widget on your website. Both appear on your calendar and sync externally, but Scheduler bookings are initiated by the client and managed through the Schedulers tool.
